REPORTING RELATIONSHIP: Is directly accountable and responsible to the Executive Vice President.

RESPONSIBILITIES:
  • Assist the Executive Vice President's office and the Vice President for Strategic Initiatives by assisting with the coordination and completion of projects emanating from that office.
  • Is responsible for assisting the Executive Vice President and the Vice President for Strategic Initiatives with the other various administrative functions associated with that position.

Position Description & Details

Office support - 90%
  • Prepares and composes letters, memos, reports, and other communications, including researching and analyzing data, and developing reports.
  • Coordinates communication with internal and external stakeholders with the Executive Vice President's office and the Vice President for Strategic Initiatives, including answering and directing calls, giving information, taking messages, assisting visitors, and handling sensitive situations.
  • Manages and coordinates the Executive Vice President's and the Vice President for Strategic Initiatives schedule including appointments, meetings, conferences, and travel arrangements.
  • Assist in the day-to-day operations of the office.
  • Assist the Executive Vice President's and the Vice President for Strategic Initiatives records and files.
  • Review and screen incoming mail and forward it to appropriate personnel.
  • Acts as recording secretary for committee meetings.
  • Process purchase card statements for the Executive Vice President and the Vice President for Strategic Initiatives.
  • Assists with operations of the MDU Resources Community Bowl by invoicing users, paying expenses, and tracking the budget.
  • Assists the Executive Vice President and Vice President for Strategic Initiatives with the scheduling, biennium budget, spreadsheets, copies, research, etc.
  • Assists the Controller with various tasks.
  • Assists the VP for Strategic Initiatives
  • Assists the Administrative Assistant to the Executive Vice President with various tasks as needed.

Miscellaneous duties - 10%
  • Supports innovation, creativity, and ideas to improve/enhance processes, functions, etc. in the department and for the college.
  • Performs other duties as assigned.


Minimum Requirements

  • Appropriate associate degree and three years of administrative office experience or 5 years of related experience.
  • Good working knowledge of office procedures and office management.
  • Excellent demonstrated interpersonal communication skills.
  • Proficient in computer software programs (i.e., Microsoft Office XP-Word, Excel, PowerPoint, email, Internet, and electronic calendar) and excellent keyboard skills.
  • Ability to work independently with little or no supervision.
  • Disciplined and able to maintain confidentiality.
  • Excellent organizational skills, detail-oriented, and able to meet deadlines.
  • Strong written communication skills (i.e., emails, letters, memos, reports, etc.).


Preferred Qualifications

  • Higher education experience.
  • More than five years of administrative office experience.
