BCforward is currently seeking a highly motivated Administrative/Executive Assistant for an opportunity in Charlotte, NC!

Position Title: Administrative/Executive Assistant

Location: Charlotte, NC

Anticipated Start Date: ASAP

Expected Duration: 12 Months.

Job Type: FULL TIME, CONTRACT, ONSITE

Pay Range:

Please note that actual compensation may vary within this range due to factors such as location, experience, and job responsibilities, and does not encompass additional non-standard compensation (e.g., benefits, paid time off, per diem, etc.).

Work shift: Ability to work between 7am - 5pm and on-call during outside business hours

Requirements:
  • 8+ years of financial services support experience, executive-level support required
  • Concur or similar experience processing travel and expenses
  • Scheduling and calendar management
    Position Summary:
  • 8+ years of financial services support experience, executive-level support required
  • Polished and professional in person, phone, and email communications
  • Experience presenting to and speaking with senior leadership
  • Significant time management, organization, multi-tasking and prioritization skills
  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
  • Strong attention to detail, ability to work effectively under pressure and time constraints
  • Concur or similar experience processing travel and expenses
  • Exemplary demonstrated work ethic

The job role includes:

1. Scheduling and calendar management

2. Coordinating travel arrangements and expense reports

3. Handling correspondence, emails, and phone calls

4. Preparing presentations, reports, and documents

5. Maintaining confidentiality and handling sensitive information

6. Managing projects and tasks assigned by the executive

7. Liaising with internal teams and external partners

8. Maintaining office operations and organization

9. Coordinating meetings, events, and appointments

10. Taking minutes and maintaining records

11. Providing technical support and troubleshooting

An Executive Assistant must possess:
  • Excellent communication and organizational skills
  • Ability to work under pressure and prioritize tasks
  • Strong problem-solving and analytical skills
  • Proficiency in software applications and technology like WebEx, MS PowerPoint, MS Words, Cisco Telepresence, etc.
  • Discretion, confidentiality, and professionalism
  • Ability to build strong relationships with stakeholders
  • The Executive Assistant role is dynamic and demanding, requiring adaptability, initiative, and a commitment to supporting the executive team.
    Primary Skill
  • Microsoft Outlook, Microsoft Excel, Microsoft Word
  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
  • Excellent communication skills
