Job Description

Under the direction of the CEO, the CFO/COO is responsible for all day-to-day accounting functions to ensure complete and accurate financial statements, supports the development of the operating budget, manages cash flow, and administers approved financial policies and procedures. Also r esponsible for carrying out business office and record keeping procedures for the association with support from finance coordinator. The CFO/COO is also responsible for facility operations and assists with program development as needed.

Qualifications

Minimum of an associate degree in accounting with 3 years of fiscal management experience required.

Possess strong knowledge and understanding of accounting, budgeting, and cost control principles including generally accepted accounting principles, and financial and accounting cash management, taxes, banking, and forecasting.

Experience in software report writing and analysis of financial and operating data.

Ability to manage several projects simultaneously.

Ability to relate effectively to diverse groups of people from all social and economic segments of the community.

Excellent interpersonal, communication, organizational and problem-solving skills.

Knowledge and experience in all aspects of operations, including staff supervision and development, successful membership practices, quality program development and implementation, volunteerism, facility and property management and sound financial practices.

Understanding of the nature and purpose of the YMCA and the respective roles of volunteers and staff.

Versatility, flexibility, and ability to work within changing priorities as well as the ability to manage priorities and workflow; ability to delegate.

Commitment to excellence and high standards; natural affinity to detail but with ability to balance perfection with common sense.

Ability to work independently.

Proficient in technology, including Excel, Word, Explorer, Outlook, DAXKO, PowerPoint, etc.

Passion, enthusiasm, and a positive outlook

Have, or be willing to be certified in, CPR, 1st Aid, and Blood Borne Pathogen Training, Child Abuse Prevention Training and any other YMCA recommended training for this position

Must have or be able to obtain and maintain a valid PA Driver’s License within two weeks of start and willing to travel as needed.

Essential Functions

Finance

Maintains accounting system to accomplish the proper recording and reporting of transactions.

Maintains all necessary records and accounting reports and records all transactions on a timely basis.

Prepares and/or reviews accounting entries as necessary.

Assists as a backup with Human Resources and processes biweekly payroll and related payroll transactions and reporting when need be.

Assists in monitoring and preparation of monthly financial operations and other analysis and reports as requested.

Performs monthly reconciliation of accounts.

Responsible for accounts payable and as a back up to the Membership Director, collections.

Assists in the development and reporting of the annual operating budget.

Assists in the annual audit and other required reporting (YUSA and IRS).

Assists in system upgrades and enhancements increasing productivity or enhancing reporting.

Serves as a resource person to management and program personnel in all matters related to accounting. Reviews, updates, and/or develops internal control systems.

Provides recommendations for continuous improvement.

Manages grant applications, awards, reporting and related accounting for restricted funds.

Assists with Annual Campaign, Year End Appeal Campaign, Raise the Region Event and other fundraising.

Maintains files for correspondence, documents, purchase orders, requisitions, and equipment, inventories and vendors.

Orders office & janitorial supplies.

Records all purchase orders and invoices.

Processes employee new hires, changes, terminations and maintains personnel files.

Provides excellent member service and trains others in these services.

Proactively solves problems.

Flexible work schedule may be required for occasional weekend or evening shift if needed.

Carries out other duties as assigned by the CEO.

Operations

Works with leadership team to satisfy strategic plan

Ensures quality of facilities and programs while maintaining safety standards

Ensures the operational growth of the YMCA through program expansion, member recruitment and retention and collaborations.

Works closely with the CEO in identifying and mitigating potential risks related to facility, programs and operations.

Cultivate and maintain positive relationships with community partners, donors and stakeholders.

Serves on Program/Membership committee.

Serves on Property/Planning Committee.

Assist staff with YPG purchasing of supplies & equipment.

Oversee annual training for staff: CPR/First Aid all Redwoods Safety Training, Mandated Reporter etc. Making sure all staff are up to date with training. Coordinate annual additional training.

Responsible for Facility/Grounds Safety & Maintenance

o Coordinates annual inspections of fire alarms, fire extinguishers, emergency lighting etc.

o Coordinates facility work projects such as fall & spring cleanup, general facility/maintenance projects, scheduling cleaning staff.

o Ordering of all cleaning supplies

o Does regular facility inspections to make sure facility is safe. I.e. Lights operating, equipment working properly, grounds in order/clean.

Support the Annual Campaign, Raise the Region

Work with CEO on Membership & Program Cost Analysis

Assist staff with management of reporting of grants.

Assists with coordination of special events: HKD, Golf Tournament, Booburg, Family Fun nights, Teen Nights and other member special events.

Director on Duty 1X a week

Director on Call 1 weekend a month
