Job Description:
The Employment Specialist I coordinates the front desk operations for the Employment/Talent Acquisition Department. The Employment Specialist l performs candidate onboarding and support responsibilities as delegated by the Employment Services Leadership to assist with efforts in recruitment, onboarding, and hiring according to established procedures and policies. Also includes administrative responsibilities to maintain confidential records associated with the employment process. Processes I-9s through the I-9 lifecycle in compliance with Federal regulations and guidelines including e-Verify. Meets with new hires and finalizes new employee paperwork as part of the Onboarding process. Other duties as assigned.

KEY RESPONSIBILITIES
  • Complete a variety of duties with Pre-Hire and Onboarding process for new hires:
    • Responding to internal and external HR related inquiries or requests and provide assistance
    • Meets with hires to complete necessary paperwork in the Onboarding process
    • Assists new hires as needed with onboarding questions such as resetting passwords
    • Assist in ad-hoc HR projects as needed
    • Coordinate and manage Onboarding Appointment calendar including rescheduling
  • Complete administrative tasks related to candidate onboarding to facilitate a smooth operation of the department for staff and visitors:
    • Answer questions concerning departmental issues from visitors or telephone calls when appropriate
    • Redirecting HR related calls or distribute correspondence to the appropriate person of the team
    • Liaise with other departments or functions as needed (payroll, records, etc.)
    • Participate in cross functional training for new Employment Staff Members.

  • Performs general office and administrative tasks, responsible for maintenance of confidential files:
    • Monitoring systems for accuracy of information as it relates to I-9 processing
    • Maintain employment supplies, equipment and forms inventory;
    • Process invoices for payment
    • Assist with making ID badges for new hires and other employees as needed
    • Administrative tasks as delegated by Leadership and other staff
    • Maintain I-9 files. Reviews forms are complete and accurate for audit purposes
    • Submit competency related documents to Imaging


Qualifications

Position requires a Bachelor's Degree in Human Resources, Business or related field. One (1) year of experience in employment/recruitment, or business office setting. Must be proficient in Microsoft Office; possess exceptional telephone & customer service skills; and be knowledgeable of English grammar & punctuation. Relevant work experience may substitute for degree requirement.

Must be self-directed / self-motivated; must have good communication and interpersonal skills. Preferred:

Previous experience working in Human Resources in a healthcare recruitment setting and processing I-9 documents preferred. Experience with E-Verify.
