JOB SUMMARY

The Werth Institute serves to bring together UConn's ecosystem of programs and resources available to facilitate student interest in entrepreneurship and innovation. It also develops and delivers targeted programs that encourage broader participation in entrepreneurship throughout the student population.

Under the direction of the Director of the Werth Institute, the Executive Assistant (Administrative Program Support 2) leads the administrative team which will comprise of the finance, human resources, and communications operations. The Executive Assistant provides comprehensive department support through managing day-to-day operations and special projects.

DUTIES AND RESPONSIBILITIES
  • This position will direct and oversee administrative, fiscal, event, and project support to The Werth Institute's Director and team as assigned.
  • Represents the Department Head to all levels of university officials, outside agencies, and others, with authority to act on behalf of the Director.
  • Manages the effectiveness of administrative efforts within all key programming including NetWerx, Werth Innovator Leadership Development, Championship Labs, Neurodiversity Center, HackUConn, Innovation Expo, and Storrs Operations.
  • Evaluates administrative workflows on a regular basis to improve efficiency and the quality of the work output. Develops and recommends changes and determines the strategy to implement process adjustments - Tracking sheets: scholarships, purchasing, HR end dates, travel.
  • Directs workflow/monitors the processing of necessary paperwork and maintenance of the filing system for fiscal and personnel records. Assists in the preparation of budgets and monitors expenditures, providing data necessary to create all programming budgets.
  • Creates and monitors workflow of requisitions, purchase orders, receipt of goods, and invoicing.
  • Sourcing/connecting with external vendors, initiating supplier requests, obtaining quotes, submitting requisitions/purchase orders, monitoring approval process, receipt of goods, and payment all in a timely manner.
  • Ensures compliance with University and State of Connecticut rules, policies, and procedures regarding financial responsibilities, long-range planning, and strategies/goals.
  • Manages hiring/onboarding process for all students, faculty, and staff associated with the Institute.
  • Monitor applications and approval processes.
  • Assembles data, writes and/or edits reports, requiring a general knowledge of business engineering and/or entrepreneurship.
  • Lead in all aspects of planning events and activities for the Institute, including scheduling, organizing catering requests, and preparing agendas.
  • Write and/or edit and disseminate information, promotional, and occasional technical materials to support Institute programs.
  • Serves as the key resource to all students, staff, faculty, and external partners on matters relating to administrative procedures and Institute activities. Responds in a timely manner and directs calls/emails as appropriate.
  • Oversees external/internal communication efforts.
  • Manages & oversees the preparation of all weekly, biweekly, and monthly newsletters: Weekly Werth, Alumni Newsletter, and Werth Innovator Newsletter.
  • Supervises the work of the Administrative Assistant for the department.
  • Performs related duties.
MINIMUM QUALIFICATIONS
  • Bachelor's degree in a related field and two years of related experience OR an equivalent combination of education and experience may be substituted for the degree and years requirement.
  • Excellent interpersonal skills and ability to work effectively with the department/university staff and other individual groups.
  • Superior organizational and/or supervisory skills.
  • Ability to resolve administrative problems efficiently, effectively, and independently.
  • Knowledge of financial accounting and purchasing and human resource management systems including KFS, PageUp, HuskyBuy, CoreCT, WebFocus, and Concur.
  • Ability to communicate with students, faculty, and administrators.
  • Staff management experience.
