Job Summary

The HR Specialist is responsible for providing a high-touch candidate experience that reflects the UTSW culture and provides an outstanding new hire experience and provides expertise throughout the employee's lifecycle. This requires close collaboration and partnerships with a wide variety of internal and external partners including applicants, new and existing employees, Central HR, and UTSW departments outside Human Resources. The HR Services Team includes responsibility for improvement related to systems, processes, procedures, and data can be optimized to improve services provided in the HR Services Center and take a proactive approach versus reactive. The HR Specialist will be responsible for the resolution of cases phone, e-mail or chat on a daily basis. This role will serve as back-up in person to the HR Services Specialist to provide in-person customer service. This role will be the main point of contact for initial or Tier 1 level questions and would analyze the question and determine if escalation is necessary. This role will work in a cross functional manner to problem solve and address inquiries across all HR systems, processes, and procedures.

Candidates with auditing and reporting experience, along with proficiency in Microsoft Excel is strongly preferred.

This is a hybrid-eligible position.

Required Experience and Education

Required Qualifications

Bachelor's Degree business administration or related field required. Relevant years of experience can be considered in lieu of education (minimum of four (4) years of related experience with no degree).

Minimum of one (1) year of previous HR, recruiting, customer service or related experience required.

Preferred Qualifications

Experience in Talent Acquisition recruiting, talent onboarding, HR Generalist or HR Business Partner roles highly.

Experience working with multiple ATS, CRM and HRM systems - specifically Taleo and PeopleSoft products.

Experience in high-touch customer service with a focus on problem solving.

Job Duties
  • Provides friendly, reliable, and timely HR services. The HR Specialist is positioned to provide outstanding service to our internal customers and employees for everything from general inquiries to more complex solutions focused on any HR matters such as compensation, benefits, leaves of absence and employment transactions, etc.
  • Provides a professional advisory and administrative service to UT Southwestern campus, new and existing employees, external customers encompassing a broad range of HR inquiries and processes, including supporting resolving Tier 1 level HR inquiries, correspondence, handling customer questions, or navigating non-HR related inquiries to appropriate UT Southwestern department.
  • Provides outstanding service to our internal and external customer with general to complex solutions on all HR related inquiries such as compensation, benefits, leave administration, recruitment, payroll, etc.
  • Participates as part of a team that are subject matter experts on general HR knowledge and organizational information to effectively answer questions and help new hires or external customers navigate UTSW.
  • Works with all staff members within HR Services, Human Resources and departments across UTSW to create and manage effective relationships.
  • Liaise with teams within HR Services and Human Resources Center of Excellence (HR COE) for escalation and resolution of queries and cases.
  • Works pro-actively to support and deliver excellent, timely customer service to customers, HR colleagues and stakeholders.
  • Identifies customer needs, seeking and providing effective solutions to their inquiries using HR Knowledge Base to provide consistent answers and guidance.
  • Responsible for providing a high-touch experience for new and existing employees emphasizing continuous process efficiency and results.
  • Performs onboarding efforts from time of offer acceptance and support new hires through the pre-onboarding process to orientation.
  • Compiles and monitors daily production reports for work group; monitors performance standards; advises manager of performance deficiencies and all system and procedural issues which require analysis and resolution; makes recommendations for re-training of employees.
  • Liaise with teams within HR Services and Human Resources COE for escalation and resolution of queries and cases
  • Ensures the timely completion of all pre-onboarding activities including background checks, DPS, Occupational Health, MVR, license/certification verification and I-9 completion.
  • Works on special projects relating to issues specific to the area of assignment; make recommendations for changes in procedure to increase productivity, standardization, quality control and customer service.
  • Collaborates with Human Resources Centers of Excellence to identify issues, make recommendations, and implement policies and procedures.
  • Performs compliance and audit management of new hire files.
  • The job may require performing one of the following duties:
    1. Builds and maintains collaborative partnership with Lead Talent Acquisition Partners to ensure seamless onboarding process for new hires.
    2. Supports the implementation of continuous improvement initiatives in processes and systems related to HR Services Center.
    3. Provides support with weekly new employee orientation, as needed.
    4. Utilizes applicable HR systems to record and maintain accurate record data.

Performs other duties as assigned.
