Competitive Qualifications:

Must be a qualified employee of New York State and have one year of permanent competitive service as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher. Qualifying titles are available at: Department of Civil Service (ny.gov)

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).*To be considered for appointment through NY HELPS, candidates must meet the open- competitive minimum qualifications for this position.

One year of clerical experience.

Preferred Qualifications:

• Microsoft 365, specifically SharePoint, Forms, Outlook, and Excel
• Use of BANNER or other student information system or database
• Be able to list 15 pounds or more.

Duties Description The mission of SUNY Oneonta's new Extended and Community Learning (ExCL) Center, located in downtown Oneonta (at 2-4 Dietz St), is to expand access to learning to people who seek education for personal enrichment, professional skill-building, preparation for employment opportunities, or advancement. The credit and non-credit educational opportunities delivered through the ExCL Center may also serve learners as pathways to increased economic mobility as well as other University Programs.

Reporting to the Director of the ExCL Center, the Office Assistant 2 (OA2) serves as an essential first point of contact for visitors of the ExCL Center. The individual hired as OA2 will be able to articulate the purpose of the space, be knowledgeable about all aspects of the center, as well as many of the services on campus. This person should have strong customer service skills, strong attention to details, and be able to multitask in a sometimes-busy environment.

Job Description:
• Serve as the first point of contact for visitors of the new ExCL Center, 2-4 Dietz Street location. May be assigned to ExCL Center 215 Hunt Union as needed.
• Answer phone and email inquiries. Responding to inquiries appropriately or forwarding when necessary.
• Assist with acceptance and registration of participants in workforce programs.
• Assist the Associate Director with the maintenance of the non-credit course registrations using current ProClass system or future system.
• Create and maintain a calendar of events/activities scheduled in the center. Follow up on reservations, making sure the customer has what they need.
• Assist with room and technology set ups for events.
• Maintain the reservation and use of the loaner laptops.
• Manage supplies for the 2-4 Dietz Street space, ordering additional when necessary.
• Maintain P-card for office purchases, keep records of purchasing as outlined by the Office of Procurement and Travel
• Serve as the liaison between maintenance, cleaning crew, IT, and purchasing for all things related to the ExCL Center.
• Provide administrative support to Director and Associate Director.

Additional Comments *For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
