POSITION SUMMARY

RASF, a Radiology Partners affiliate, is seeking a Vascular Surgery Office Coordinator/Supervisor who will focus on providing general administrative/clerical support to the Miami Vascular Specialists team in the MVS Office . The ideal candidate will be experienced in handling a wide range of administrative tasks and can work independently with little or no supervision. Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company services, policies, and programs. The ideal candidate will be personable, driven and proactive. The candidate will be willing and able to adapt quickly to changing needs and assignments and excellent communication skills. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a growing office of diverse people.

POSITION DUTIES AND RESPONSIBILITIES

  • Answer phone calls that come into the practice and respond to all missed call and voicemails. Route calls to the correct department.
  • Provide appointments to patients.
  • Input patient demographic information into the EMR
  • Scan all documents into the EMR
  • Call patients to notify them of upcoming appointments and ensure all required documents are on file.
  • Review all hospital consult patients and transfer the patient information into the practice's EMR.
  • Create new patient charts from patients seen in the hospital OR and transfer the documents from the hospital into the patient's EMR.
  • Specific to renal failure patients - Review and verify the insurance information, confirm if auth/referral has been received, and contact patients /physician's offices to request auth/referral
  • Manually load the physician schedule and procedures into scheduling platform - Surgimate
  • Input physician qGenda schedule and verify that it aligns with hospital schedule.
  • Maintain the supply closet
  • Assist with front desk coverage
  • Weekly bank deposits
  • Assist with insurance authorization/verification coverage
  • Manage office mail
  • Manage assigning the medical assistants their schedule
  • Cover office manager and perform any new tasks as they arise not limited to above.


DESIRED PROFESSIONAL SKILLS AND EXPERIENCE

  • 3+ years of experience working in a business administration role and medical setting, preferred
  • Experience working in a Vascular Surgery/Cardiology setting is highly preferred.
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Must be bilingual (English and Spanish)
  • Attention to detail and problem-solving skills
  • Reliable with patience and professionalism
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficiency in MS Office
