Summary

The Senior Coordinator, Business Operations primarily provides administrative support to Senior/Leadership BCM Faculty in the Department of Pediatrics, Division of Psychology. In addition, this role works collaboratively with both BCM and TCH stakeholders to assist with operations in the clinical and administrative space. This role supports the college's teaching, research and clinical missions in an administrative capacity.

The candidate will need to work collaboratively with other administrative support staff, research staff, division and hospital leadership (both BCM and TCH). BCM staff who work at TCH must be willing to learn processes for both organizations and be flexible in understanding that each organization has different workflows. The candidate must also recognize that because we are providing support to clinical providers, patient care will always come first and we must support our faculty with that in mind.

The candidate will also be responsible for assisting the administrative leadership with audit duties of clinical time on a monthly cadence to ensure alignment with BCM Employee CART allocation and clinical obligations.

Job Duties

  • Provides support to the division administrator and assists with position management, personnel transactions.
  • Provides direct designated administrative support for at minimum, 19 Faculty across the division.
  • Manages travel that Division faculty take. This travel positively affects academic and research productivity for the Division and the college.
  • Works with faculty and other personnel on correspondence and presentations related to their academic, clinical and research productivity.
  • Supports and manages 30% of individual faculty calendars (19 individuals after recruitment) on a day to day basis, arranging in person and virtual meetings and calls related to academic, clinical and research productivity.
  • Assists or acts as a delegate for faculty timekeeping in Success Factors by submitting time off requests.
  • Manages clinic communication to block patient schedules aligning with time off.
  • Assists with other activities related to faculty administrative support as needed.
  • Works with division administrator and clinic chief to oversee clinical space needs of daily operations, managing space in the Texas Children's space management application.
  • Assists division administrator with on-boarding activities including credentialing paperwork, access requests, and orientation schedules.
  • Provides single point contact for TCH and BCM Information Services teams to shepherd service tickets to completion, including participating in system testing if necessary.
  • Manages department supplies orders, ensuring budgetary alignment and maintaining PAR levels.


Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.


Preferred Qualifications

  • Bachelor's Degree in related field.
  • High level (leadership) Administrative support experience in a healthcare setting is preferred.
