West Virginia University Libraries is currently accepting applications for an Access Services Student Supervisor.

About the Opportunity

This position will hire and supervise the student assistants at the Downtown Library, carry out departmental operations and provide services at the Downtown Access Services desk. They will spend most of time at the public service desk, working with users and student employees, and will be responsible for closing the library.

What you'll do:

  • Hire, schedule, approve timesheets, evaluate, and direct 20-30 student assistants in the department. Prepare an annual budget request for work-study and non-salary student employees based on department needs, salary of different student employees, work-study awards and hourly wage. Track expenses for each student, including work-study grants. Monitor budget throughout the year and notify Director of Access Services of any shortages or other issues.
  • Responsible for initial training of students specializing in stacks maintenance and the public service desk. Create a prioritized list of tasks (shelving, desk, shelf reading, searching, etc.) for student employees and ensure work in the department is timely and accurate. Assist with documentation for use in student training. Write evaluations for all Downtown Library Access Services students, after getting input from other staff in the department.
  • Assigned to regular shifts at the Downtown Access Services Desk. Respond to user questions, assisting with basic reference questions and/or questions about databases, searching, and/or finding materials. Has a good understanding of library policies to answer questions that may arise.
  • Provide customer service and respond to user inquiries using a thorough knowledge of the WMS system, including all types of circulation transactions in WMS; charging, discharging, and renewing materials; assisting users in locating and/ or requesting materials, questions regarding fines and bills, etc.; creating or editing user records; issuing Friend of the Library cards; etc. Refer the user to the appropriate department, or the proper help desk as needed. When scheduled, respond promptly and courteously to directional inquiries via LibChat, providing accurate and helpful guidance to patrons seeking information on navigating the library's physical spaces, resources, and services.
  • Supervise all student employees working during desk shifts. This involves supervising student assignments and ensuring the work of the department done by students is timely and accurate.
  • Assist with ETD processing for all WVU Libraries locations and assist with the ETD submission process via email, phone calls or face-to-face interactions and approving submissions. This requires review of ETD submissions, ensuring all necessary documentation is provided for formatting, and publishing prior to approval. Work collaboratively with KARM and Scholarly Communications Librarian.


Qualifications

  • Bachelor's degree. Substantial library or relevant work experience may be substituted.
  • 1 or more years Library or relevant work experience
  • 1 or more years Public / Customer Service experience
  • 6 months or more Supervisory experience preferred
  • A strong public service attitude and strong interpersonal skills to interact with colleagues in the WVU Libraries, the university and partner libraries.
  • Must be dependable, adhering to scheduled shifts and promptly communicating any scheduling changes or relevant information to supervisor and/ or library units.
  • Demonstrated knowledge of academic library operations; has general knowledge of the Library of Congress classification system, electronic catalogs, and others.
  • Excellent oral and written communication skills
  • Ability to operate and maintain basic office and library equipment such as Microsoft Office and email software
  • Ability to learn and utilize circulations and research programs such as WMS Circulation, WorldCat Discovery, EBSCO EDS, Microsoft Office products and Confluence


Must be able to push or pull heavy book trucks (up to 100 lbs)- Daily

Bust be able to carry stacks/boxes of books (up to 30 lbs)- Daily
