JOB TITLE: Accounting Administrative Assistant DEPARTMENT: Accounting REPORTS TO: Accounting Supervisor, Administrative StaffACCOUNTING ADMINISTRATIVE ASSISTANT SUMMARY: Responsible for providing financial information to management by researching and analyzing accounting data; preparing reports; complying with federal, state, and municipal legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on best accounting practices. ACCOUNTING ADMINISTRATIVE ASSISTANT DUTIES AND RESPONSIBILITIES:
  • Support for accounts receivable function
  • Customer setup
  • Customer invoicing
  • Collections/Cash Application
  • Backup and supplemental support for accounts payable function
  • Vendor setup
  • Credit card and expense reporting (through Ramp software)
  • Supplemental general accounting support, as needed
  • Journal entries
  • Cash reconciliations
  • Balance Sheet account reconciliations
  • Opening and distributing mail
  • Maintain annual corporate calendar.
  • Assisting Owners and Directors with administrative duties
  • Vista software experience is preferred but not required.
  • Construction accounting experience is preferred but not required.

ACCOUNTING ADMINISTRATIVE ASSISTANT QUALIFICATIONS:
  • Bachelor's Degree (BA) from four-year college or university, or one to two years of related experience and/or training, or equivalent combination of education and experience.
  • Working knowledge of generally accepted accounting principles.
  • Microsoft Office Suite proficiency.
    • Stable work history.
