Job Summary

The Division of Metabolism, Endocrinology & Diabetes is seeking a high-level, full time administrative Assistant to provide administrative support to clinical and research faculty. This position provides comprehensive administrative support to various faculty at multiple locations across the campus. The ability to work as part of a team is essential to the success of a person in this position.

Responsibilities*

This position will:
  • Manage complex calendars, maintain and communicate daily schedules, provide additional support as requested.
  • Coordinate numerous complex meetings which may involve various locations, multiple departments and institutions.
  • Process clinic closing requests and maintain faculty time away tracking.
  • Work closely with lab managers to process all lab requests. Manage tracking of received inventory. Assist with processing material transfer agreements as needed.
  • Coordinate the workflow between the PI and contributing authors when writing textbooks and other publications.
  • Organize travel arrangements, reimbursements. Reconcile monthly expenses.
  • Aid faculty with updating CVs, add references in manuscripts using program such as Endnote, maintain publications in PubMed, formatting NIH biosketches, bibliography files, file management.

Required Qualifications*

Administrative Assistant Senior Level
  • Bachelor degree or equivalent combination of training and experience.
  • 4 years of progressively complex administrative assistant/related experience.
  • Must have an ability to exercise initiative, independent judgment, and a positive service-oriented attitude as well as excellent communication, interpersonal and organization skills.
  • Excellent professional writing skills; good grammar and punctuation.
  • Demonstrated track record for effective communication with all levels of the organization; ability to exercise discretion and judgment in matters of sensitive or confidential nature.
  • Strong multi-tasking ability with propensity to adjust for changing priorities.
  • Advanced level proficiency with Microsoft Office: Outlook, Word, Excel, PowerPoint.
  • Ability to learn independently and apply skills to future work.
  • Professionalism; outstanding attendance record and excellent work ethic.
  • Excellent proofreading skills and file management
  • Experience with grants, NIH biosketches
  • Strong interest in emerging technology platforms and social media
  • Ability to problem solve and think critically.

Administrative Assistant Intermediate Level
  • Associate degree or High School diploma and equivalent combination of training and experience.
  • 2 years of progressively complex administrative assistant/related experience.
  • Must have an ability to exercise initiative, independent judgment, and a positive service-oriented attitude as well as excellent communication, interpersonal and organization skills.
  • Excellent professional writing skills; good grammar and punctuation.
  • Demonstrated track record for effective communication with all levels of the organization; ability to exercise discretion and judgment in matters of sensitive or confidential nature.
  • Strong multi-tasking ability with propensity to adjust for changing priorities.
  • Proficient with Microsoft Office: Outlook, Word, Excel, PowerPoint. Knowledgeable with Adobe.
  • Ability to learn independently and apply skills to future work.
  • Professionalism; outstanding attendance record and excellent work ethic.

Desired Qualifications*
  • Experience with Adobe and Microsoft Office. Knowledge of M-Pathways and the University business systems.
  • Concur and expense report processing.
  • Experience in high paced, dynamic, working environment.
  • Knowledge of University policies, procedures and regulations

Background Screening
