About Us:

The Ohio Department of Higher Education is a Cabinet-level agency for the Governor of the State of Ohio that oversees higher education for the state. What You'll Do:

Administrative Assistant, Aspire- Administrative Staff and unclassified pursuant to •124.11 (A) (30) and •3333.03 of the Revised Code. Serves at the pleasure of the Chancellor and in a fiduciary capacity to the Ohio Department of Higher Education (ODHE). Reports to the Director, Aspire.
  • Provides administrative support for Aspire staff members, which includes:
    • Drafting and reviewing correspondence
    • Preparing various documents (e.g., composes, edits, obtains signatures)
    • Maintaining electronic files and tracking required forms
    • Answering Aspire general phone line and managing general email boxes
    • Managing calendars
    • Making travel arrangements, completing, and submitting required travel documentation
    • Coordinating meetings and taking notes
  • Manages Gov Delivery Listserv.
  • Performs research as needed for projects, meeting/events, and other tasks.
  • Assists with grants management.
  • Coordinates program visits and reviews and provides on-site support.
  • Completes website updates including editing and uploading documents.
  • Maintains information and compiles data for dissemination including leading the statewide data pull (DMS system) .
  • Assists with tasks in the Data Recognition Corporation (DRC).
  • Responds to inquiries and provides technical assistance to external and internal stakeholders .
  • Solves problems, identifies issues of concern or opportunity, and brings those to the attention of appropriate staff .
  • Processes contracts, billing, and invoices from State Leadership grants and other contracts.
  • Organizes Microsoft Teams Aspire Group .
  • Manages service ticket dashboard .
  • Assists with special projects .
  • Performs other duties as assigned.

Qualifications
Minimum Qualifications:
  • Bachelor's degree and one (1) year administrative support experience.
  • Excellent oral, written, and communication skills.
  • Ability to be organized, self-motivated, flexible, responsible, and to manage a variety of duties efficiently.
  • Proficient in Microsoft Applications software (Word, Excel, PowerPoint).
  • Ability to function as a team member and committed to continuous learning.
Preferred Qualifications:
  • Proficient in interactive web-based software.
  • Interest in adult education, higher education, and program support.
  • Excellent proofreading and writing skills.
