The Department of Pediatrics at the University of Virginia (UVA) School of Medicine seeks applicants for an Administrative Assistant or Intermediate Administrative Assistant to perform clerical and administrative work for the section of Pediatric Psychology and Behavioral Health. Administrative Assistants perform work of a clerical nature, providing office support under direct supervision. Work is typically repetitive and follows consistent practice and established procedures.

Typical duties include: calendar management, reimbursements, account management, Qgenda, email communication, etc. Administrative Assistants consult with supervisors for most decisions outside of standard operating procedures. The successful candidate will join a supportive, learning-oriented team that employs outstanding people and is progressive in its initiatives to develop and support its staff, making it a great place to work. This candidate will collaborate and provide cross coverage to the division of Neurodevelopmental Pediatrics and can be reassigned to another division within the department if needed.

The successful candidate will be expected to:
  • Type memos, correspondence, forms, and technical or confidential reports.
  • Receive and screen incoming calls and mail, answer routine inquiries, and route calls to the appropriate individual .
  • Maintain calendars. Schedule and confirm appointments, meetings, and travel arrangements.
  • Review and answer standard correspondence.
  • Greet and screen visitors and provide customer support, as needed.
  • Provide division-level support to various areas within the department, as needed.
  • Edit faculty CVs as needed/requested
  • In addition to the above job responsibilities, other duties may be assigned.
Minimum Qualifications:

Administrative Assistant:
  • Education: High School Diploma
  • Experience: None
Intermediate Administrative Assistant:
  • Education: High School Diploma
  • Experience: At least one year of relevant experience

Anticipated Hiring Range is $36,000 - $40,000 commensurate with education and experience.

This position will remain open until filled. This is a restricted position and is dependent upon project need, availability of funding and performance. Physical Demands:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and progra ms.
