The City of Phoenix Law Department is seeking an Administrative Assistant I to fill a vacancy in the Management Services Division, providing administrative support to the Prosecutor's Office. The Law Department is comprised of the City Attorney's Office, which handles representing the city in civil matters, and the City Prosecutor's Office, which handles the prosecution of misdemeanor crimes committed in Phoenix. This position directly facilitates the administrative and secretarial functions for the City Prosecutor's Office and handles a variety of administrative tasks.

Duties include:
  • Providing support to the City Prosecutor, Bureau Chiefs and the Management Services management team.
  • Preparing memos, correspondence, office newsletters, statistical reports, and agendas and minute.
  • Scheduling meetings and exit interviews.
  • Conducting research and completing special assignments.
  • Coordinating and assisting with Requests for Council Action, City Council Reports, and Ordinances.
  • Monitoring contract compliance, processing invoices, and researching payments.
  • Managing Management and Employee Development Funds, and middle management and executive travel and expenses.
  • Serving as the point of contact with Community Partners.

  • Ability to:
    • Multi-task and prioritize effectively.
    • Work collaboratively with others, including external stakeholders, and independently with minimal supervision.
    • Provide exceptional customer service (in-person, over the phone, and email).
    • Maintain strict confidentiality.
    • Manage multiple calendars, schedule meetings, prepare agendas and minutes.
    • Format and edit legal documents, letters, correspondence and manuals.

SALARY

Pay Range: $23.74 to $44.77 per hour.

Hiring Range: $23.74 to $36.84 per hour.

MINIMUM QUALIFICATIONS

  • One year of paraprofessional experience in governmental research and finance administration or paraprofessional experience aiding an administrative officer in technical and administrative problems and affairs.
  • Bachelor's degree in public or business administration or a related field.
  • Other combinations of experience and education that meet the minimum requirements may be substituted.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:
  • Experience in/with:
    • Municipal law and the criminal justice process.
    • Providing Executive/ Middle Management Administrative/Secretarial Support.
    • Investigating business processes and developing new/improved processes/systems, procedures, and forms.
    • Managing training funds and processing travel requests.
    • Public Relations and with point of contact coordination
    • SAP/eProcurement/SRM, invoicing and receipts.
    • Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
