Job Summary: The Administrative Assistant for the Graduate Program Office plays a key role in organizing and implementing administrative systems and procedures. The individual will serve as the primary point of contact for inquiries related to the program, ensuring the smooth day-to-day flow of communication within the department. This position involves gathering and maintaining data for various reports, managing records, and providing administrative support for meetings, seminars, and other events.
Key Responsibilities:
  • Serve as the principal source of information on the Graduate Program, assisting students, faculty, and staff with inquiries.
  • Organize and implement administrative systems and procedures for the smooth functioning of the office.
  • Collect and maintain data for reports, often utilizing a variety of computer software such as spreadsheets, databases, and word processing tools.
  • Prepare, maintain, and update records, including financial, personnel, and student records.
  • Proofread, edit, and compose correspondence, reports, and other documents.
  • Plan and coordinate the use of facilities for meetings, conferences, and seminars.
  • Provide front desk coverage, greeting visitors, managing incoming calls, and handling inquiries professionally.
  • Ensure the seamless flow of communications within the department, both internal and external.
  • Assist with scheduling, calendar management, and arranging meetings for staff and faculty.
  • Handle confidential and complex information with discretion.
  • Collaborate with team members to contribute to department goals and complete clerical or administrative tasks as required.
Qualifications:
  • Previous experience in an office or administrative role required.
  • Intermediate to advanced knowledge of email, word processing, spreadsheets, and calendar management.
  • Competency with office computer software and the ability to learn new applications quickly.
  • Strong organizational skills with attention to detail and the ability to handle multiple tasks simultaneously.
  • Ability to work independently with minimal supervision.
  • Excellent written and verbal communication skills.
  • Ability to manage confidential information with professionalism and discretion.
