PRINCIPAL DUTIES AND RESPONSIBILITIES:

Actual job duties may vary by department

- Perform administrative duties under minimal supervision at the highest proficiency level.

- Provides direct support to Division Chief and Administrator

- Work is highly complex, non-repetitive and often project oriented,

- Ability to problem solves and determine best course of action with little direction.

- Act as a lead, assign and prioritize workflow, troubleshoot issues, assist with training and orientation, and provide backup support for the Supervisor.

- May direct workflow and lead others. Mentor other staff.

- Work on projects, coordinate work, take initiative using all available resources, follow through on issues when needed, apply knowledge as appropriate with little direction from Supervisor.

- Track expense budgets, perform basic bookkeeping tasks and create financial reports.

- Assist with training and orienting staff as needed.

- Provide cross coverage as needed.

- Follow HIPAA guidelines for the management of patient privacy and confidentiality.

- Other duties, as assigned (listed below)

  1. Extensive daily communication and contact with many Clinical and Administrative Departments of BWH, Carney Hospital, Faulkner Hospital, MGH, DFCI and BWPO. This requires routing factual and confidential information and a detailed knowledge of policies and procedures at this institution as the others.


  1. Maintains schedule for the Clinical Director and other faculty including coordinating patient clinics and operating room schedule with all meetings at BWH, satellite offices and outside engagements.




  1. Handles all telephone calls and messages having to do with the Faculty's administrative practice, triaging calls, as necessary, to appropriate personnel.




  1. Receives and sorts all mail for Clinical Director and other faculty.




  1. Maintains and organizes filing system for Clinical Director and other faculty.




  1. Composes routing correspondence to patients and physicians. Abstract basic information from patient records and other files.




  1. Prepares various types of medical and administrative correspondence including dictated medical staff notes, memoranda, OR Committee minutes, reports, letters and schedules. Composes, proofreads, and edits as necessary.




  1. Coordinates meetings using appropriate internal hospital resources whenever possible.




  1. Works as a team member with all staff in the Division to ensure smooth operation of the Division, including participation in staff or faculty meetings, taking minutes, and preparing agendas.




  1. Prepares, submits, and follows up on check requests, work orders, and resource booking requests to ensure completion.




  1. All other duties as needed and requested by the Administrative Manager and the Senior Administrative Director.




  1. Performs all other duties related to the surgeon's administrative practice at the Brigham and Women's Hospital, Dana-Farber Cancer Institute, and other satellite offices including faxing, filing, photocopying, scanning, completion of forms and routine mailings as required.




Travel

  1. Makes frequent travel and housing accommodations for various meetings and speaking engagements, including processing and tracking of travel reimbursements for visiting physicians and foreign dignitaries.




  1. Monitors surgeon's travel, lecture, and vacation schedule.




Courses & Conferences

  1. Coordinates with Department of Surgery personnel on all aspects of various Thoracic Surgery Education courses for the Division, such as having posters made and distributed, mail appropriate letters of invitation, and maintain calendars for the division in the capacity of supporting the chief.




  1. Plan meetings and conferences, which may also require tracking of budgets or the ability to compose minutes.


Credentialing and Licensure

  1. Monitor surgeon's state license and renew when necessary.




  1. Maintain surgeon's current CV information.




Special Projects

  1. Coordinate any special functions, including but not limited to recruitment activities and visiting professorships, requested by the surgeon, which includes booking hotel conference/function rooms, catering and entertainment.




  1. Monitors and maintains budget for any special projects or events planned by the Surgeon.




  1. Helps organize and maintain of vendors and speakers for various divisional meetings including but not limited to the Quality Assurance Meeting.




  1. Run work-related errands as they arise for Clinical Director and other faculty.




  1. Any projects assigned by the Division Chief, Clinical Director, or Administrative Director.


Qualifications

Level of education required:

- Minimum of a high school diploma or GED.

Work experience required:

- Minimum three years medical office or administrative support experience required.

- Some additional training in office systems or other post high school education preferred. Associate's Degree or higher level education preferred, but not required.

SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:

Technical skills required:

- Knowledge of practice operations and standards.

- Understanding of procedures including filing, copying, scanning, printing, and faxing.

- Highly proficient in all communication skills (phone, verbal and written). Ability to handle sensitive information and situations with poise and professionalism.

- Organization Skills: Strong organizational, coordination and judgment skills. Ability to prioritize effectively. Ability to manage multiple tasks effectively, following established protocols, and work within systems.
