Position Purpose:
The Administrative Assistant, Student Affairs provides operational support to Guarini School staff and programs by coordinating a variety of activities that support the student and postdoctoral experience. Serves as the front office first point of contact for students, staff, faculty, and the Dartmouth community, effectively redirecting individuals to the appropriate person who can best address their needs.

Required Qualifications - Education and Yrs Exp: Bachelors or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities:
  • Two or more years of administrative office experience.
  • Greets and establishes professional rapport with all visitors and individuals contacting the office.
  • Ability to operate with a high degree of autonomy, proactively identifying improvement opportunities and resolving problems.
  • Excellent verbal and written communication and strong interpersonal skills.
  • Ability to cultivate a collaborative and inclusive atmosphere,
  • Communicates effectively with a wide range of constituents.
  • Ability to manage logistical and administrative details of multiple tasks or projects.
  • Ability to work effectively, independently, and as a member of a team.
  • Proficient with computer applications, including website updates and database entry and management.
  • Ability to maintain and foster confidentiality.
  • Demonstrated ability to effectively collaborate and interact with all levels of employees, management, and leadership.
  • Attention to detail and accuracy.
Preferred Qualifications:
  • Experience in higher education or student affairs is a plus.

Key Accountabilities

Description:
Front Office Operations-
  • Serves as the front office first point of contact for questions from students, staff, faculty, and effectively redirects individuals to the appropriate person who can best address their needs.
  • Greets and establishes professional rapport with all visitors and individuals contacting the office.
  • Works effectively, professionally, and sensitively with a diverse group of external callers and visitors as well as internal contacts at all levels of the institution.
  • Procures office supplies, submits work orders, and handles other administrative tasks as needed such as filing.
  • Collaborates with other departments on campus to support the Guarini community.
  • Makes all reservations for the Guarini Conference Room

Description:
Student Affairs Support -
  • Supports Guarini School Associate and Assistant Deans with scheduling, logistics, room reservations, and food orders.
  • Supports coordination and execution of Guarini programming and events, including annual (e.g. orientation, investiture, commencement, grad appreciation week), recurring (e.g. community dinners, ice cream socials), and other events as necessary.
  • Coordinates and schedules meetings and events, including meetings with GSC and other student/postdoc groups.
  • Makes and oversees all reservations for the Guarini Commons and coordinates logistics with the Conferences and Events office.
  • Keeps the Guarini event calendar up to date.
  • Monitors the general email account, responding to messages and redirecting inquiries to the appropriate person.
  • Sends out assessment surveys for Guarini events.
