Job Duties

The Virginia Department of Agriculture and Consumer Services, Office of Weights and Measures, Division of Consumer Protection is seeking a qualified individual to serve as an Administrative Assistant for Region 3 inspection staff and Regional Supervisor (Richmond, Petersburg, Tidewater and surrounding areas). Duties include administering and maintaining the Service Agency/Technician registration and licensing program; ensuring access to and completion of required re-training for licensed technician; registering new service agencies and technicians; registering new service technicians for training classes; issuing permits/licenses; keeping database current; coordinating with the training team on classes for new technicians; mailing class notices; assisting clients on service agency/technician procedures and processing annual renewal applications. Additional duties include maintaining complaint and inspection report files; receiving, reviewing, entering, and filing weekly work report data; receiving and assigning consumer complaints to appropriate inspectors for investigation; and receiving, compiling and maintaining violation files and forwarding to appropriate supervision. This position also interacts and communicates professionally and effectively with clients, co-workers, and the public, by telephone, in-person, and electronically providing accurate and timely assistance. This position is office based. This is a reannouncement.

This position is paid by the hour, limited to working no more than 1500 hours per year, and does not include state benefits.

Minimum Qualifications

Knowledge of current, basic office processes, equipment and procedures along with effective oral/written communication skills; demonstrated exceptional customer service skills in an office setting; and the ability to work in a fast-paced, high volume office environment. The ability to present a positive image to the public is required both by telephone and in person. Proficiency using personal computers to include the MS Office Suite and complex databases, or other electronic document management systems. Current experience working in an office environment to include managing calls, processing mail, data entry, filing (both electronic and paper), and explaining regulatory requirements to the public and regulated industry. HS Diploma/GED required.

Additional Considerations

A combination of related education, training and experience indicating possession of the preceding knowledge, skills, and abilities to include knowledge of business-oriented curriculum and previous work experience within a regulatory agency or direct experience with weights and measures laws and regulations.
