The Research Office at West Virginia University is accepting applications for a (Hybrid) Administrative Assistant.

About the Opportunity

This position reports to the AVP for Research Operations and provides administrative assistance to key Office Directors and for high priority projects within the Research Office. Ideally this individual operates independently to serve the needs of the various constituents.

  • 37.5-hour work week
  • 13 paid holidays (staff holiday calendar)

What You'll Do

  • Provides administrative support to ensure efficient office operations.
  • Schedules meetings with larger attendance.
  • Prepares meeting agendas for larger events.
  • Coordinates logistics for meetings, including room setup and catering.
  • May input and update information in databases and spreadsheets.
  • Uses word processing and presentation software to create and edit documents.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.



Pay Grade: 15

Qualifications

  • Bachelors degree or equivalent combination of relevant education and experience.
  • A minimum of one (1) year of experience in an office setting is required.
  • Familiarity with standard office platforms, such as Microsoft Office
  • Event planning and coordination
  • Data management and entry skills, including the ability to maintain and improve filing systems
  • Accurate record keeping
  • Written communication skills
  • Time management, multitasking, and flexibility
  • Organizational skills including accuracy and attention to detail
  • Interpersonal skills, professional and courteous demeanor
