JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 1 provides direct and dedicated administrative support to the Medicolegal Death Investigators (DIs). This position screens phone calls, files death certificates and cremation requests, receives and distributes medical records, handles written correspondence, and collects and maintains records of DI activities.

DUTIES AND RESPONSIBILITIES:

  1. Screens outside phone calls and routs to an investigator, evidence tech, clerical staff (ex: report requests, evidence pickup) or the Director of Investigations.
  2. Coordinates appointments for law enforcement to pick up evidence with the evidence techs, or to meet with/speak with a pathologist regarding a case.
  3. Receives and monitors cremation requests and death certificates, keys into enters data into cases management system once reviewed and approved by a DI, files paper copies, and maintains running counts of the cases.
  4. Compiles Sudden Death in the Young (SDY) case registration data; shares information and corresponds with pathologists, clerical, techs and the SDY Coordinating Center.
  5. Receives medical records and police reports from the Dis; scans and uploads electronically to the case management system for pathologist review.
  6. Picks up admit blood samples, radiology media and other items from area hospitals.
  7. Collects statistical information such as cooler counts, cooler temperature logs, drug disposal logs, and Shelby County burial cases.
  8. Compiles information for review for accreditation purposes or Shelby County Health Department requests.
  9. Maintains office, scene bag, and vehicle supplies; arranges and coordinates IT maintenance requests.
  10. Assists with scene vehicle logs and maintenance schedules.
  11. Assists the Director of Investigations with Quality Assurance.
  12. Performs other duties as assigned.


Qualifications:

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of work experience in a relevant setting (e.g. medical or law office, funeral home, law enforcement); OR Associate's degree, six (6) months of work experience in a relevant setting; (e.g. medical or law office, funeral home, law enforcement). Must have a valid driver's license.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced knowledge and abilities in Microsoft Office products, particularly Excel.
  • Ability to learn new online applications.
  • Ability to manage multiple priorities or projects.
  • Ability to quickly gain knowledge of the medicolegal system and communicate clearly with other staff or agencies.
  • Ability to communicate with grieving family members in a compassionate manner.
  • Knowledge of the role of the medical examiner's office or medicolegal operations preferred.
  • Knowledge of the justice system/healthcare industry/medical records/funeral industry preferred.
  • Knowledge of HIPPA regulations and medical records preferred.
