JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 3 assists with the daily workflow of the office, development of policies and procedures, and works directly with the software vendor, clearinghouse, and insurance carriers in setting up the billing system according to requirements.

DUTIES AND RESPONSIBILITIES:

  1. Provides work direction to billing staff members for coverage, workflows, processes/procedures.
  2. Maintains billing system by staying current with vendor, payor, and insurance regulatory requirements.
  3. Coordinates and works directly with software vendor, clearinghouse, and insurance carriers.
  4. Ensures timely dispersal of the information to billing office staff and manager when changes are necessary to maintain revenue flow.
  5. Provides guidance to billing office staff and manager when issues arise with the billing system and works to rectify those issues in a timely manner.
  6. Maintains working knowledge of insurance and healthcare regulations to ensure accuracy and timely generation of revenue.
  7. Verifies insurance coverage for behavioral health referrals and creates case management files.
  8. Maintains schedules/billing for the Center of Excellence.
  9. Reviews and addresses denied insurance claims for University Family Physicians Hospital and ambulatory practices.
  10. Contacts the insurance carrier if the claim needs to be reprocessed due to an error.
  11. Makes necessary corrections to error claims and documents reasons for change/correction.
  12. Performs other related duties as assigned.


Qualifications:

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT IS REQUIRED)

EXPERIENCE: Four (4) years of billing experience or experience in a medical office setting; OR Bachelor's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent interpersonal and communication skills, including oral, written, and listening skills.
  • Ability to multi-task in a busy work environment.
  • Good computer skills.
  • Knowledge and ability to work in Microsoft Office.


WORK SCHEDULE: This position may occasionally be required to work evenings.
