The Time and Attendance Editor, reporting to the Clinical Manager of Nursing Operations, Northridge Hospital Medical Center (NHMC), has a primary function of time and attendance management for designated areas. The Administrative Coordinator, reporting to the Administrative Director of Nursing Operations, Northridge Hospital Medical Center (NHMC), provides administrative support, and office coordination to one or more Clinical Directors and/or other individuals as assigned

Responsibilities
  • Time and Attendance management: Performs daily Ceridian and RES-Q reconciliation.
  • Daily review of all assigned employees to ensure that time card includes all swipes, including meals, appropriate in/out swipes, authorization for over time and double time; time charged to appropriate cost center, Charge pay, Preceptor pay, Orientation pay, Education time, Stand by hours, Call back hours, Sick time, Family Sick, Hospitalization, Extended Sick, PTO and Flex time. Appropriately manages AB60 staff under expense tab. Randomly monitors which clock employees utilize and reports to Administrative Coordinator when clock used is inappropriate. Ensure final pay period Ceridian edits have been entered prior to payroll deadline (eg. ESB, True Up, AB60, budgeted hours, etc.). Works with Administrative Coordinator to assist in tracking of CET classes and time available (balance). Utilizes tracking sheets as appropriate (eg. Family sick, missed swipes, tardies, etc.) and communicates with Admin. Coordinator. Monitors attendance records and automatically produces standard disciplinary action. Ensure that payroll book is fully stocked with proper forms, such as Adjustments, ESB and Break Sheets
  • Provides administrative support including using Microsoft Applications (i.e. Outlook Word Excel Power Point Microsoft Access) answering telephones makes follow up calls filing record keeping preparing purchase requisitions opening and distributing mail maintain calendars scheduling meetings.
  • Performs data entry in AS400 including the input of patienregistration charges and lab orders
  • Responsible for the maintenance organization and copying of all digital photographs and interviews
  • Responsible for creating and maintaining Patient Database
  • Provides relief coverage for the Nursing Office as needed.
  • Ensures the confidentiality of all work performed.
  • Schedules meetings, makes follow up calls, prepares materials, orders and confirms food and room arrangements, and records minutes as requested.
  • Prepares financial and/or staffing related reports on behalf of the Clinical Director as assigned.
  • Performs other related duties as assigned or requested.

Qualifications
  • Must have a minimum of two (2) years administrative support experience in a healthcare environment with excellent computer skills. (Microsoft Word Excel Powerpoint Outlook) and strong proofreading skills/attention to detail. Must be able to multi-task and work dependently in a small department.
  • High School diploma required.
  • Microsoft Office applications (Word Excel Powerpoint Outlook Access) AS400 required.
  • Must have demonstrated understanding of and ability to use computer software (e.g., Outlook, Word, Excel, Power Point, Access).
  • Fire Safety Card required within 90 days of hire.
