As part of the Office of Student Life, The IU Housing Operations and Assignments office is a dynamic group of staff who facilitate administrative process for IU Housing, through occupancy management, contract implementation and front-line service for IU Housing. With a cyclical and detail-oriented environment, staff balance customer service and student development through interactions with students and families.

IU Housing is home to approximately 12,000 students, predominately first year students, in 19 residence centers. Job Summary

Department-Specific Responsibilities
  • Provides direct in-person, telephone, online, and email services to clients and especially for students and families who require complex services.
  • Schedules, accountability and assist in hiring, onboarding, and training of hourly part time staff and assist with office management in their absence.
  • Provides front line counseling, customer service, and holistic problem resolution in the areas of bill payment, assignment information, contract obligations, and student accounts to prospective, current, and former students and their support systems.
  • Troubleshoots student issues and resolves complex matters that may cross over several departments.
  • Verifies accuracy and completeness of IU Housing administrative services and ensure smooth flow of operation. Can include application and contracting processes, enrollment confirmation, timely bill payments, rental verification, and eligibility for on campus housing.
  • Assists in creation of training tools for various software in addition to creation of manuals or standard operating procedures.
  • Represents IU Housing Operations and Assignments at orientation and outreach events both on and off campus.
  • Interprets and utilizes online and historical information from IU Systems such as the Student Information System (SIS), Salesforce Lightning (Customer Relations Management tool), Dialpad (call center software), housing management software and the IUIE system.
  • Manages of cases, templates, and contacts in Salesforce Lighting Customer Relations Management (CRM) tool.
  • Collaborates with outside the university vendors and agencies to provide additional services to students living on campus.
General Responsibilities
  • Evaluates office production, revises procedures, or devises new forms to improve efficiency of workflow.
  • Organizes office operations and procedures, such as creation of Word and Excel files, bookkeeping, and preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other office services.
  • Oversees opening, sorting, and routing of incoming mail, answers correspondence and prepares outgoing mail.
  • Monitors the use of office supplies and equipment; reorders items as required.
  • Ensures that office procedures and policies are being maintained and communicated.
  • Compiles, copies, sorts, and files records of office activities.
  • May perform other duties related to maintaining an internal website and/or working with social media.

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
