Summary

Duties

As an Administrative Officer (Office Manager), GS-0341-11, your typical work assignments may include:
  • Overseeing the Regional office's functions related to document retention and organization, including incoming/outgoing correspondence, records management, publications/forms management, administrative standard operating procedures, administrative internal controls, and organizational files management.
  • Studying, analyzing, and developing way to establish and improve the assignment and workflow of case handling and processing within the administrative positions of the Region.
  • Serving as the Contracting Officer's Representative for the Region on administrative expenditures to include ensuring the technical aspects of contracts are met.
  • Establishing and communicating guidelines and performance requirements to employees; conducting formal performance reviews; and identifying and providing for the developmental and training needs of employees.
  • Attending meetings and participating in discussions and planning of workload, case handling time targets and priorities, staff utilization, implementation of new case handling requirements, new administrative policies and programs, and similar matters.

Ideal Candidate Statement


The ideal candidate for the Administrative Officer (Office Manager) position has experience coordinating the administrative workflow of an office. The candidate possesses analytical skills to oversee and give meticulous attention to detail to ensure that the daily workflow of the office is completed and/or routed and tracked successfully. The ideal candidate has excellent interpersonal skills and the ability to communicate both effectively orally and in writing. Experience serving as a Contract Representative or experience assisting in the purchasing, budgeting process is preferred.

Minimum Qualifications

Applicant must have one year of specialized experience equivalent to the GS-09 grade level which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of an Administrative Officer (Office Manager) at the GS-11 grade level.

Specialized experience includes:
  • Experience planning and providing management and program services for operational activities of an office; and
  • Experience serving as a liaison to resolve matters and coordinate activities related to budget, facilities, and human resources; and
  • Experience establishing internal procedures to promote efficiencies to overcome obstacles in the administrative process.
