Introduction

The Department of Health Services (DHS), Southern Wisconsin Center (SWC) is recruiting for an Administrative Program Assistant Advanced .

Work hours are 8:00am - 4:30pm, Monday through Friday.

SWC is a state run, licensed and certified Intermediate Care Facility for Individuals with Intellectual and Developmental Disabilities (ICF/IDD). Position Summary

As the Administrative Program Assistant Advanced, you will m anage and coordinate administrative functions, and provide a variety of advanced program support and assistance to SWC programs including Human Resources, Nursing and Residential Services. This position requires a high level of confidentiality and works cooperatively with a team to ensure compliance with SWC and HR policies and procedures. Specific duties include:
  • Compiling, reviewing, and maintaining documentation related to employee investigations and discipline,
  • Maintaining program data in databases and preparing reports for management
  • Tracking due dates for certification and licensures
  • Creating and maintaining paper and electronic files, checking references; and other related administrative support duties associated within the programmatic areas.

Salary Information

The starting pay is between $22.91 and $27.70 per hour (approximately between $47,700 and $57,600 per year), depending on qualifications, plus excellent benefits. A 12-month probationary period is required.

Pay for current or former state employees will be set based on the rules that apply to compensation for the applicable transaction. This position is classified as a Program Assistant Advanced Confidential and is in pay schedule and range 81/05.

Job Details

All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.

All appointees will be required to receive a TB test, which will be administered by SWC, or medical personnel approved by the facility prior to their start date.

Qualifications

Minimally qualified applicants will have all the following:
  • Experience providing administrative support (e.g., preparing reports or correspondence, responding to emails, coordinating, or scheduling meetings, etc.) using Microsoft Office (e.g., Word, Excel, Adobe Acrobat, Outlook).
  • Experience providing customer service to internal and external partners (e.g., responding to inquiries, explaining policies and procedures, resolving issues, etc.) by phone, email, or in person.
Well-qualified applicants will also have one or more of the following:
  • Experience working with confidential information and maintaining confidentiality of sensitive information.
  • Experience managing or coordinating multiple projects or tasks and meeting deadlines.
  • Experience completing quality assurance reviews on time-sensitive documents for accuracy, completeness, and compliance.
