QUALIFICATIONS :
  • High school diploma, GED, or sufficient experience, education, and training that demonstrate ability to perform duties and responsibilities of the position
  • Demonstrated experience in bookkeeping, accounting, payroll practices, and procedures or other financial functions required by the Purchasing Department.
  • Minimum of 3 years in clerical, administrative secretarial experience, or similar administrative positions
  • Experience working with Microsoft Office Suite or other proprietary productivity software applications
  • Ability to communicate effectively both orally and in written correspondence
  • Strong organizational skills and proven ability to work successfully in a fast-paced office environment
  • Such other qualifications as may be appropriate or desirable

DUTIES AND RESPONSIBILITIES
  • Performs secretarial duties commensurate with the job description
  • Performs data entry and routine administrative functions for the Purchasing Department
  • Receives, screens, forwards all office telephone calls to the appropriate authority, and responds to routine telephone inquiries
  • Receives, screens, sorts, and routes all correspondence and incoming office media to the appropriate party
  • Reviews, evaluates, and ensures all purchase requisitions and purchase orders are processed in accordance with Board policy, adopted procedures, guidelines, and regulation
  • Performs various clerical, bookkeeping, secretarial, and administrative support duties for the department and department head
  • Prepares written correspondence, files, and other file types using productivity software applications; e.g., Microsoft Office ( Microsoft Word , Microsoft Excel , and Microsoft PowerPoint , etc.)
  • Maintains physical and electronic files that support the department's mission and function
  • Maintains calendar for department head, including arranging meetings, conferences, and teleconferences
  • Maintains customer confidence and protects departmental operations by keeping information confidential when appropriate and applicable pursuant to regulation
  • Prepares various reports as directed by department head requisite to departmental operations and functions
  • Performs various administrative functions relating to Centralized Contract Administration and Risk Management assigned to the Purchasing Department
  • Performs other related duties as assigned
