JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Support Assistant 3 provides administrative support to faculty, staff, students, and residents within the Division of Plastic Surgery and Colorectal Surgery, University of Tennessee Medical Center.
DUTIES AND RESPONSIBILITIES:
- Provides administrative support to faculty involved in local, regional, and national organizations of elected positions.
- Schedules each faculty's medical student lectures for the M3 clerkship, resident mock orals, residency interviews, and assigned resident mentoring sessions.
- Coordinates and maintains physicians' academic schedules and calendars.
- Prepares and maintains on-call schedules in electronic call system (PerfectServe) and distributes schedules to each physician, as well as clinical and administrative staff.
- Liaisons with physicians' clinical staff, GSM staff, department of surgery staff, and other departments.
- Assists with scheduling the Grand Rounds and obtaining speakers.
- Coordinates and schedules shadowing of college students and confirms students are registered outside learners.
- Maintains credentialing for appointment and reappointment of hospital medical staff privileges. Assists in obtaining and renewing state medical licenses, specialty board requirements, and DEA licenses.
- Assists faculty in preparing promotion documents for submission to the Department Promotion Committee.
- Prepares documents for faculty evaluations for full-time faculty for submission to the Chairman's office and schedule individual evaluations.
- Screens, sorts, and distributes mail/documents, prepares and submits monthly time for physicians, and prepares travel arrangements, requests, and reimbursements.
- Performs other related duties as assigned.
Qualifications:

- Ability to display excellent communication skills, excellent computer skills, and excellent organizational skills.
- Knowledge of numerous telecommunication/media software.
- Knowledge of medical terminology and transcription.
