  • Hours: Full-Time 1.00 FTE (40 hours/week), Monday-Friday 8-4:30pm
Position Summary:
  • As an integral part of the College advancement team, this position has the primary responsibilities of supporting efforts to increase philanthropic support of the College, managing the scholarship program, and engaging College alumni. The Advancement and Alumni Relations Coordinator will provide extraordinmy service to all College donors, students, alumni, and friends.
Key Duties and Expectations:

Advancement Efforts:

  • Plans, implements, and tracks fundraising activities and processes.
  • Acts as a donor database expert for recording and retrieving information as needed for audits and other reports as well as preparing accurate and timely gift acknowledgements.
  • Supports the coordination of the annual golf outing with direction from the Director of Advancement and College President.
  • Organizes and maintains departmental files, records, databases and manuals.
  • Supports graduate employment tracking for reporting purposes as needed by the Director of Institutional Effectiveness and/or President.
  • Processes monthly credit card statements, handles invoicing, budget tracking and invoice authorization forms as delegated.
  • Schedules, makes arrangements, prepares agendas and records minutes accurately for designated meetings and committees.
  • Supports coordination of College mailings including holidays cards, annual reports, newsletters and solicitations.
  • In conjunction with Financial Aid, works directly with student applicants for donor scholarship awards.
  • Develops, manages, and maintains donor scholarship policies, procedures, and operations to ensure appropriate disbursement and fiscal accountability.
  • Promotes the donor scholarship program to increase the amount of assistance available to students and the number of scholarship applications.
  • Participates in effective cultivation and relationship-building activities with donors and prospects and organizes donor recognition processes.
  • Plans and coordinates annual donor events, such as Scholarship Salute.
  • Supports the expansion of the College's Legacy Society.
  • Assists with setting and evaluating strategic goals of the Advancement Department.

  • Alumni Efforts:

  • Prepares and maintains annual calendar for alumni cultivation, solicitation, and stewardship activities for the College.
  • Facilitates the College's alumni relations initiatives, including long-range gift planning, the annual homecoming event, scholarship development and other projects.
  • Serves as a resource and provides assistance to alumni committees and groups.
  • Promotes and fosters alumni relations though written and personal contacts with constituent group.

  • Additional Duties:

  • Participates in College-wide efforts related to continuous quality
  • Promotes effective and positive working relationships with internal and external customers.
  • Maintains professional confidentiality in all matters relating to College functions.
  • Assists with a variety of projects as delegated or as appropriate to the position.
  • Plans for personal development needs.
  • Serves as a member of college committees.


  • Qualifications:
    • Preferred: Minimum of a bachelor's degree in a related field.
    • Two years' experience in a fundraising and/or donor relations role, with previous experience in higher education preferred. Database management and fundraising software experience required. Alumni relations experience recommended.
    • Knowledge and skills in fundraising and donor relations. Proficient in Microsoft Office and fundraising database systems. Knowledge of annual and capital campaigns planned giving and event management preferred. Knowledgeable about the regional community.
    • Effective communication skills, including technical and creative writing, along with interpersonal skills that are friendly and helpful.
    • Strong attention to detail and organizational skills a must.
    • Flexible, works well under pressure, demonstrates initiative, self-directed.
    • Must be organized, attentive to detail, can maintain accurate records exercising discretion with confidential information.
