The AMER Production Coordinator provides customer-centric booking management, calendar, organizational, reporting, marketing efforts and administrative support to the Event Productions Off Campus Productions and Large Production Venues team. The primary focus supports booking management and calendar logistics for customer events. A successful candidate will be able to step seamlessly into a corporate production environment, demonstrating strong organizational skills, impeccable customer service attitude, and be energetically driven to serve our customers and the team.
Key job responsibilities
• \tDaily customer communication and management
• \tManages the assessment of incoming customer requests
• \tAble to work backwards from production technical requirements and partner with production stakeholders
• \tRegular scheduling of customer requests and customer meetings management
• \tMaintains multiple venue calendars and workflows
• \tPrepare and provide travel quotes to customers
• \tSupports and collaborates cross-team, attending team meetings and production meetings
• \tCollaborates across teams and partners, routing customer requests to the most appropriate event resources
• \tSupports vendor and stakeholder relations, across partner and service groups
• \tManages meetings effectively; provides supporting data and documentation, aligns stakeholders
• \tImproves efficiencies, and works to optimize processes
• \tDelivers weekly metrics, data, and reports
• \tWorks on goal-centric projects, aligns stakeholders and seeks diverse opinions
• \tAble to identify blockers, escalate appropriately and facilitate progress
• \tCollaborates with customers; able to discuss referrals, recommendations, and additional resources as needed
BASIC QUALIFICATIONS
- 2+ years in project management
- 2+ years advancing customer events and/or event marketing
- 2+ years customer service in related field
- 2+ years familiarity with event production environments
- 2+ years managing multi-calendar workflows
- 2+ years managing customer leads and booking queues
- Strong written and verbal communication skills
- Familiarity with event booking systems, programs, and platforms
- Able to effectively prioritize and meet competing deadlines
- High level of proficiency in Microsoft Outlook and Microsoft Office Suite.
PREFERRED QUALIFICATIONS
- Strong desire to learn new technologies
- Strong analytical skills and demonstrated ability to improve processes
- Strong sales lead generation and customer lead management experience
- Familiarity with event management or production teams
- Familiarity with Asana, project management platforms
- Experience managing Microsoft SharePoint team sites
- Experience using Tableau, PowerBI, or Quicksight, for data analysis
