Why does the job exist?

The Administrative Operations Manager I will:
  • Serve as an Operations Manager for the Systems Bureau. This individual will be responsible for project management for the multiple and various projects for the Systems Bureau including User Acceptance Testing and Help Desk Activities;
  • Assist the team identify potential areas of improvement and promote activities to support the necessary changes;
  • Assist in leading the team to ensure completion of System projects by a set deadline to uphold all enhancements and maintenance;
  • Provide oversight of project activities to include management of due dates to ensure compliance with all action items and set due dates to ensure quality, timeliness, accuracy, and accountability of all tasks;
  • Coordinate, communicate and collaborate on efforts within the Health Care Authority and the various agencies and vendors ISD partners with.


How does it get done?

The Administrative Operations Manager I is responsible for:
  • Short-term and long-term planning to create initiatives that further the Bureaus and Departments overall goals;
  • Delegating tasks on the projects, tests or assignments to employees best positioned to complete them and assisting the team with prioritization of all tasks;
  • Attending meetings and participates in discussions regarding system enhancements, maintenance and operation testing, security and help desk activities;
  • Supporting and directing work of System, HD, User Acceptance testing or other project teams;
  • Evaluating and assessing the results of System Enhancements, Maintenance or other projects;
  • Identifying areas of improvement and providing support for solutions;
  • Supporting and empowering staff to make educated and knowledgeable decisions;
  • Supporting effective communication and collaborating with internal and external customers and partners;
  • Overseeing of any enhancements or maintenance activities to ensure proper administration and compliance;
  • Making decisions and monitoring progress of System projects to keep team on track;
  • Coordinating with different entities, such as, other State Departments, Federal Partners, HCA Bureaus and all staff to ensure clear exchange of ideas and promote cross-team opportunities when recognized;
  • Communicating with all staff to ensure all system projects align with all goals and initiatives;
  • Assisting with recruitment process to maintain the Bureau staffing;
  • Supporting the staff in identifying, applying for and administering various system projects to include all reporting requirements.

Minimum Qualification

A Bachelor's Degree in any field of study from an accredited college or university and six (6) years of professional level experience with a tactical impact directly related to the purpose of the position defined by the agency at the time of recruitment. Any required licensure, certification or registration shall be defined at the time of recruitment and will be in addition to the above requirements.

Employment Requirements

Must possess and maintain a valid Driver's License.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
