General Description / Primary Purpose
Provides operational and fiscal support to the business and ticket operations of the Athletics Department. This position maintains records, initiates and processes essential paperwork for all Intercollegiate Athletic operational budgets including, but not limited to, travel requests (TRs), travel reimbursements, requisitions, change orders, direct pay invoices, cash deposits and game day official pay requests. Maintains records and initiates updating of code changes to PCard transactions. Prepares for and handles departmental PCard audits. Position is also responsible for maintaining internal logs for paperwork submittals and transmissions. Has direct contact with all departmental staff personnel, most UNF business and/or administrative departments, and outside contractors/personnel as required.

Position is responsible for the overall direction, management, and supervision of the Athletics Ticket Office. Receives and disperses funds, maintains records and prepares financial reports. Manages graduate assistants, game day staff, and student assistants/interns.


Essential Duties

Job Function
Business Operations
Provides day to day support to the Business Operations of the Athletic Department including, but not limited to, the following responsibilities:
- Serves as the primary contact for the University's contracted program WorkDay
- Create expense reports for travel and PCard purchases
- Assist the Department with travel requests
- Obtain the proper travel reimbursement paperwork and process travel expense reports
- Obtain backup documentation for PCard account codes for purchases made and process PCard expense reports
- Serve as the point of contact for PCard audits
- Reconcile Official Visits paperwork and process any reimbursements
- Primary contact on Accounts Payable, including the processing of spend authorizations
- Primary contact with Procurement Services, including the creation and monitoring of requisitions and purchase orders
- Manage the W-9/Vendor application docs for game officials and vendors for direct pay invoices and serve as the liaison with Accounts Payable & Procurement Services
- Process and monitor contracts in the University's iContract system
- Processes Foundation requisitions
- Responsible for deposits and reconciliations
- Maintain accurate records/paper trails for all financial fiscal documents, including Requisitions/Purchasing Orders, Standing Orders, Accounts Payable (invoices) and coordinate the workflow.
- Assist in the creation of Business Office policies and procedures
- Assist in the creation of forms to improve Business Office efficiency
- Coordinate individual and team training programs to effectively educate staff on Business Office policies and procedures

Ticket Operations
Responsible for the overall direction, management, and supervision of the Athletics Ticket Office.
- Receives and disperses funds, maintains records and prepares financial reports.

- Manages Ticket promotions, seat assignments, chargebacks, and ticket audits.

- Oversees distribution of tickets to external outlets and contract vendors.

- Build specific seasons, events, and price tables into the ticketing system, including price levels and ticket types.

- Prepare internet sales for season and single tickets with mobile ticket capabilities

- Coordinate, assist and maintain ticket inventory and account for voided tickets, scrapped and unsold ticket stock for each season

- Prepare event batches for ticket sales, balance and deposit all funds received from ticket sales and other revenue streams

- Receives and records incoming revenues

- Prepares all departmental deposits

- Contact customer regarding balance due and denied credit card charges

- Handle ticket problems or issues that may arise for athletic events and any ticketed external events

- Secure safes and ticket offices after work hours

- Creates and updates various databases used in preparation of management reports, season ticket holder(s), corporate sponsor(s), and other patron databases

- Manages Graduate assistants, game day staff, and student assistants/interns

- Responsible for working Athletic events

- Other duties as assigned by the Associate Athletics Director or Director of Athletics

Required Qualifications
This position requires either (a) Master's degree from an in a directly related area of specialization and two years of experience directly related to the job functions; (b) Bachelor's degree from an in a directly related area of specialization and four years of experience directly related to the job functions; or (c ) 8 years of direct experience.
