We are seeking a dynamic and detail-oriented Assistant Director of Dean's Office Operations to join our team. This pivotal role is essential in driving operational efficiency within the Dean's Office and supporting key strategic initiatives that shape the future of our organization.

As the Assistant Director of Dean's Office Operations, you will be at the heart of enhancing the effectiveness of our Dean's Office operations. Your role will encompass managing complex projects that drive improvements in administrative processes and workflows. Working closely with the Chief of Staff and the Senior Assistant Dean for Strategy, Planning, and Finance, you will ensure that Dean's Office initiatives are executed seamlessly and effectively.

The successful candidate will be responsible for:

Project Management
  • Oversee and coordinate a range of complex projects within Arts & Sciences business operations, ensuring timely and successful execution.
  • Develop detailed project schedules, determine resource needs, and manage timelines, budgets, and milestones.
  • Track project status, resolve issues, and ensure projects adhere to deadlines and budget constraints.
  • Develop and refine systems for tracking, planning, and executing projects, ensuring optimal performance.
  • Provide direction, assign duties, and manage project staff (both temporary and permanent) to deliver high-quality results.
Dean's Office Operations
  • Assist Senior Leadership in the planning and execution of strategic initiatives, ensuring alignment with organizational goals.
  • Analyze and optimize administrative processes to boost efficiency and effectiveness.
  • Create and implement standard operating procedures (SOPs) for various administrative functions to ensure clarity and consistency.
  • Map and document key processes, providing clear guidelines and maintaining operational consistency.
  • Monitor project progress across the Dean's Office, providing regular updates on status, milestones, risks, and achievements.
  • Utilize project management tools and software to maintain accurate records and documentation.
Qualifications:
  • Eight years of relevant experience required, proven experience in project management with a strong ability to oversee complex initiatives and deliver results preferred.
  • Education: High School Diploma required, Bachelor's Degree Preferred
  • Exceptional attention to detail with a commitment to high standards of accuracy and quality.
  • Excellent collaboration skills, with the ability to work effectively with diverse teams.
  • Excellent interpersonal and communication skills, including strong presentation and meeting facilitation skills
  • Proficiency in project management tools and Microsoft Suite
  • Experience in process improvement and developing standard operating procedures.
  • Ability to analyze and resolve issues that may impact project performance.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
