Serving as part of the Registrar's Office leadership team, the Assistant Director is responsible for supervising five Registration & Records (R&R) Associates to administer excellent customer service and operations for the department's student-facing service center for all functions related to enrollment, student records, and verifications. The Assistant Director works independently with students, faculty, and administrators to resolve conflicts, find solutions, and handle inquiries from escalated internal and external constituents. The Assistant Director is tasked with organizing and coordinating office operations and procedures, while also overseeing ongoing training and development initiatives for their team. Additionally, the Assistant Director is entrusted with the maintenance of academic records for both current and former University students that includes the daily allocation of work assignments with a focus on ensuring adherence to deadlines and the completion of processes in a timely and effective manner.

Responsibilities and Duties

  • Management/Supervision: Hiring, training and management of all employees working in the R&R area including management of the weekly service counter schedule, timesheet review, leave requests, and probationary/annual performance evaluations. Manage assignment of daily tasks to ensure adequate office coverage while accommodating telework days and always ensuring an elevated level of customer service. Supervise staff data entry for registration change requests from students and academic departments. Oversee administrative requests such as changes of major and academic record changes (e.g., pass/fail audit, incomplete, change of grade requests, name/sex change updates). Oversee enrollment verification processing from external (insurance, employment, licensure, certification, scholarships) and internal constituencies (financial aid, scholarships, study abroad).
  • Administrator Responsibilities: Oversee/manage end of term and semester clean-up processes; ensuring tasks are completed according to internal guidelines and timeline. Ensure processes and changes affecting student records are properly documented in Perceptive Content; provide troubleshooting and problem solving as needed. Manage complicated/escalated registration issues, providing support for students, faculty, staff, and administrators. Manage assignment of technical clean up tasks such as transcript purge, Bio/Demo updates, CLEP, Federal employment degree verification, post-matriculated cancel requests, LSAC (Law School Admission Council) verification with TU transcript legend. Manage and process SUBO cancellations each semester. Post approved transfer credits. Serve as backup for Parchment transcript billing.
  • Technical Responsibilities: In coordination with the Financial Aid office, work to support the multi-semester enrollment report process which includes providing support and oversight on the National Student Clearinghouse (NSC) reporting processes in accordance with federal regulations. Make updates, process error reports and verify enrollment and degrees the NSC as needed. Serve as backup to verification services for NSC. Coordinate with the Associate Registrar in reviewing monthly Parchment billing statements to review for errors and accuracy for the transcript and diploma order revenue. Weekly cleanup and review of Perceptive Content scanning queues for accuracy of document storage.
  • Residency: Stay up to date with USM in-state residency policy, and TU procedures. Serve as first line of inquiry for residency walk-in questions and issues. Assist Residency Coordinator with student and/or parent questions regarding residency concerns, application status, deadlines, and process.
  • Professional Development & Department Leadership: Attend workshops, meetings, and conferences when applicable. Complete/oversee special projects assigned by Associate and Assistant Registrars. Complete testing when needed. Serve on department leadership team representing R&R to assist in making decisions for the entire office. Represent the office as needed on university committees and at events.
  • Internal/External Contacts: Serve as primary contact for campus academic programs including Towson University in Northeastern Maryland and Towson Learning Network. Primary individual overseeing complicated transcript fulfillment orders/issues (BHU and joint TU/UB MBA). Maintain relationships with third party vendors, internal campus partners and external contacts.


Qualifications and Skills

  • Two years relevant experience in higher education
  • Supervision experience

  • Technically proficient with a high attention to detail
  • Preferred: Knowledge of TU policies, PeopleSoft (SIS), Perceptive Content, Salesforce


Salary and Benefits

Targeted Hiring Range is $65,000 - $70,000 and full University benefits that include 22 days of annual leave, up to 15 holidays, personal and sick days; excellent health, life, and retirement plans; and tuition remission.
