Duties & Responsibilities

Assistant Director of Pharmacy Inventory Management works with the Director of Pharmacy to coordinates all activities relating to procurement of medicines in a pharmacy including storage, inventory and quality management of supplies. The Assistant Director of Pharmacy Inventory Management monitors and controls pharmacy inventory and purchasing, performs physical inventories, recommends cost-saving measures, and maintains appropriate documentation of purchasing activities, including invoices, department charges, borrow and loans, and pharmaceutical. It is the Assistant Directors duty to ensure that the FDA procurement procedures regarding purchasing, storage and distribution of drugs from the pharmacy follow the prescribed legal polices.

SUMMARY OF DUTIES AND RESPONSIBILITIES:
  • Works to help establish and maintain any and all electronic inventory management systems which includes but not limited to;

a) Setting up par levels

b) Maintaining proper system database

c) Make changes and adjustment to the system when necessary

d) Confirm interfaces are working properly
  • Ensure medications are ordered through proper accounts such as WAC, GPO and 340B.
  • Help maintain 340B split billing software.
  • Monitors and notifies pharmacy staff of drug shortages and takes appropriate steps to identify and acquire drug from alternate sources.
  • Maintains appropriate inventory levels based on established usage and financial parameters.
  • Maintains high rate of compliance with purchasing contracts, Health System policies and accreditation and regulatory requirement.
  • Monitors and notifies pharmacy staff of drug shortages and takes appropriate steps to identify and acquire drug from alternate sources, as approved by Central Office.
  • Works with clinical, corporate office and administrative staff to accurately identify alternatives for medications and supplies affected by national shortage.
  • Anticipates and recognizes inventory flow charges and makes appropriate adjustments in ordering;
  • Coordinates the receiving, checking in, and proper storage of pharmaceuticals and supplies from vendors, in conjunction procurement staff.
  • Verifies orders received from vendors and quarantines incorrect, expired and damaged items for return.
  • Identifies trends in drug use and high cost items and communicate trends to corporate leadership.
  • Monitors purchasing and inventory statistics and parameters.
  • Maintains appropriate inventory levels based on established usage and financial parameters.
  • Maintains accurate shelf and item labels in all Pharmacy drug storage locations including static and high-density storage devices.
  • Maintains adequate in-date stock of medications and rotates stock to ensure use before expiration date.
  • Returns expired medications utilizing Reverse Distributor and ensures proper credit is received.
  • Identifies and retrieves all recalled medications, disposes of recalled medications per manufacturer and FDA instructions, and maintains documentation and log for all recalled medications and actions taken.
  • Maintains up to date borrow/lend records, processes invoices and credits in a timely manner, and maintain documents to ensure proper credit or rebate, according to letter of participation or contract, for items bought.
  • Prepares reports of inventory management activities and manages the preparation for and conducts annual inventory.


Minimum Qualifications
1. Valid license and current registration to practice as a Pharmacist issued by the New York State Department of Education (NYSED); and
2. Four (4) years of satisfactory full-time experience as a licensed practicing Pharmacist, of which at least two (2) years shall have been in an administrative, managerial or supervisory capacity in a Pharmacy in a hospital, health or medical facility.
