Position Summary:

VCU's Office of the University Registrar is searching for an Assistant Registrar for Degree Audit and Graduation. Reporting to the Associate Registrar, the Assistant Registrar for Degree Audit and Graduation manages the daily operations of the Degree Audit team. This position coordinates the processing of all graduation materials including careful evaluation of credentials. They work in conjunction with the Associate Registrar to verify that all processes are completed in a manner that ensures a seamless graduation ceremony and experience for students, parents, and staff. They assist with the coordination and preparation of information used in the production of diploma orders and the Commencement Book. The Assistant Registrar also serves as the primary trainer of unit staff on student information system functionality related to all degree audit components and associated supporting system infrastructure. They are the primary scriber translating bulletin degree requirements into system table language. They work closely with staff in Administrative Systems as the Degree Audit Office's primary liaison when non-end user system supported updates to student or course records are necessary. This includes troubleshooting system functionality, implementing product upgrades, and maintenance of localizations. This team member serves as the lead for maintenance of the Degree Works system tables ensuring accuracy of degree audits used to check progression towards completion of degree requirements and the primary edit and report writer for the Degree Audit area. Lastly, they assist the Office of the University Registrar with edit and report writing and the maintenance of student information system tables supporting degree program information ensuring accuracy of internal and external reporting as well as unit and end user training material.

Core Responsibilities:
Manages Daily Degree Audit Operations and Graduation Processing (30%):
  • Assigns daily work assignments, ensuring coverage of critical time sensitive unit responsibilities and services.
  • Maintains Degree Works system tables for degree programs including associated components and course information utilizing Degree Works SureCode and Transit system controls.
  • Resolves Degree Works Banner Bridge process ensuring data is bridged accurately between Banner and Degree Works.
Development and maintenance of edits and reports for the Degree Audit system (20%):
  • Develops, produces, and works edits to monitor the accuracy of degree audit Scribe and substitution/waiver entries.
  • Maintains and develops reports documenting metrics on the unit's produced work volume.
Performance Management (20%):
  • Provides feedback on staff performance.
  • Ensures that staff have the necessary knowledge, skills and abilities to accomplish goals.
  • Ensures that performance issues are addressed and documented as they occur.
Manages MCV Campus graduation processes (10%):
  • Processes MCV Campus graduation applications, to include calculating honors, posting degrees, and ordering and distributing diplomas.
  • Identifies students who have successfully completed requirements for a degree at VCU by using knowledge of graduation policies and procedures in order to provide the credentials that are the evidence of the degree posted to the transcript.
  • Files applications in a timely manner so that documents may be readily recovered and to comply with established records retention schedule.
Office of the University Registrar departmental reporting (10%):
  • Assists with creating SAS reports to provide enrollment data to internal and external customers.
  • Serves as a technical resource and liaison with Technology Services for the degree audit system.
  • Assists with the development and training on the student information and degree audit systems.
Serves as a member of Office of University Registrar management team (5%):
  • Provides input and suggestions for changes and improvements to the office.
  • Represents Office of the University Registrar, with internal and external customers to resolve problems, gain knowledge, give advice, make recommendations.
Performs other duties as assigned (5%):
  • Assists in review and maintenance of Banner and Degree Works coding.
  • Assists in review and assessing impact of systems vendor upgrades.
  • Assess and determines assignment of security user classes to end user for access to Degree Works.
