Under supervision of the Chairperson, the Assistant to the Chairperson will assist the Chairperson with all matters relating to the Art and Design Education (ADE) department administration including: course scheduling, registration, reporting and state certification, faculty workload administration, department facilities and resources, budgets, and special projects as necessary.
Administrative Support and Office Management
  • Perform office administrative duties i.e., organize and prioritize daily workload; generate and edit correspondence; update computer and hard copy files; schedule and arrange meetings.
  • Oversee equipment service and maintenance and order supplies and equipment as needed.
  • Generate and process purchase orders, payment vouchers, purchase requisitions, payroll forms, and related paperwork, as necessary.
  • Oversee and maintain in clean and organized operational order the department's facilities (i.e., faculty office, classroom, student space, equipment, and resources).
  • Coordinate course room booking, scheduling, and updates.
  • Update and maintain department archives including but not limited to admissions materials, syllabi, student, faculty, and other administrative files on the Institute server.
  • Additional work as assigned.
Faculty and Student Support
  • Serve as liaison to faculty, students, and campus departments as well as to ADE programs.
  • Assist students in their academic programs and registration including participation in advisement of students during the registration process, as necessary.
  • Hire, assign tasks and supervise work-study students and/or graduate assistants.
  • Assist Faculty with needs related to their classes.
  • Process paperwork for faculty hiring and faculty workload; monitor faculty workloads.
  • Maintain faculty records (i.e., resumes, syllabi, and correspondence).
  • Collaborate with the Assistant Chair on the New York State Teacher Certification process and maintain accurate information materials on the website. Process documentation necessary for state certification. Maintain accurate department records required for teacher certification and New York State Education Department.
  • Collaborate with Assistant Chair on assisting students with the certification process, scheduling workshops and bootcamps required for Certification including ensuring that data protection training (EdLaw) is completed by students and faculty: communicate requirements, track progress in completing requirements, monitor and resolve challenges, supervise adjustments to video trainings and quizzes as needed and maintain accurate records.
Budget, Events, and Promotional Activities
  • Oversee and maintain department budgets, work with the Chairperson to develop and submit annual budget requests, submit budget reports, attend budgetary training sessions.
  • Organize and maintain graduate applicant files and databases, process scholarship recommendations, handle admissions correspondence and potentially serve on the departmental graduate admissions committee in an administrative capacity upon request.
  • Assist in preparing for accreditation reviews. Schedule focus groups, conduct yearly surveys for students, first-year teachers and their supervisors, and alumni, as necessary. Maintain accurate records and file data required by the accreditation agency.
  • Lead - in consultation with the Chair- informational and promotional efforts, including hosting department events, developing brochures and newsletters as well as all social media. Schedule and offer direction to photographers for promotional materials and department events.
  • Assist as needed with the logistics and installation of department exhibitions and events which includes catering the events, assisting with the design and distribution of promotional materials through social media, print, and e-mail.


Qualifications

Education
  • BA, BFA or equivalent required.
Experience
  • Required: At least two years' administrative experience in an educational setting including work with budgets, or an equivalent combination of education and experience.
  • Preferred: Experience in an art, design and/or higher education environment.
  • Demonstrated success in supervising interns and/or assistants.
Skills
Required:
  • Excellent interpersonal and written and verbal communication skills required.
  • Demonstrated ability to work independently and take initiative.
  • Must be extremely well organized and detail-oriented.
  • Demonstrated ability to multi-task and work under pressure.
  • Above average computer skills including Adobe Creative Suite.
  • Must have the ability to work well with diverse populations; and demonstrated level of cultural competence.
Preferred:
  • Demonstrated ability to set administrative priorities.
  • Able to liaise effectively with others to meet department goals.
