The School of Professional ( SPS ) reports to the division of Academic Affairs, reporting to the Associate Provost. SPS works collaboratively with departments, colleges, and academic support units to ensure integrated partnerships for enrollment growth, student success and faculty effectiveness in teaching.
Primary Purpose of Position
The Associate Director is responsible for ensuring the operational efficiency of The Dubois Center, which operates seven days a week with extended hours. This role collaborates with various internal and external stakeholders, including SPS leadership, to oversee the daily operations and maintenance of the building. The Associate Director ensures the building meets the needs of its occupants, including faculty, students, staff, and guests/clients. Responsibilities include recommending space changes to optimize resource use, developing safety protocols, and quickly addressing and resolving any issues or emergencies to minimize operational disruptions.

The Associate Director supervises the Event Management team, including two Event Managers responsible for planning and executing events ranging from large high-profile gatherings to smaller internal and external events. Responsibilities include troubleshooting issues, planning staffing needs, and adapting to unexpected challenges. The Associate Director reviews event plans, including timelines, budgets, and resource needs, approves expenditure requests, oversees and operates the event software system, and provides monthly usage reports to leadership. Flexibility is required to cover events outside regular hours and provide leadership on policy interpretation, including Policy #21, Food Service Policy, Outdoor Activities, Alcohol Policy, and resolving space scheduling conflicts.

Additionally, the Associate Director is responsible for academic room scheduling at The Dubois Center, working with the Registrar's office and other university departments and for special space requests outside semester timelines. This role requires knowledge of UP 601 (scheduling of space) policies and procedures unique to The Dubois Center, as opposed to those on campus within CRES .

Responsible for maintaining strong relationships with key stakeholders, including Police and Public Safety, Facilities Management, Chartwells, Parking Services, University Advancement, Design Services, Academic Affairs and other university departments and external organizations, is essential. The Associate Director works in partnership with the Assistant Director, The Dubois Center to ensure optimal use of the 1st floor/lobby as part of the university's activation plan and ensures the building is adequately staffed at all times notifying leadership to address staffing concerns for the safety and security of the building.

Responsible for card access approvals for the building, key management, and the management of ID's generated by The Dubois Center.

The Associate Director will play a key role in building and nurturing relationships between the community and The Dubois Center. Responsible for working with university stakeholders including University Advancement to enhance The Dubois Center's presence, help strategize on growing student enrollment and events, fostering a positive and collaborative environment.

Minimum Education/Experience
  • A bachelor's degree and 2 years of operations management experience.
  • 2 years of leadership experience
  • Experience in managing budgets, negotiating contracts with vendors, and coordinating logistics.
  • Flexibility and adaptability due to events that often require working outside regular office hours and weekends.
  • Strong attention to detail.
  • Demonstrated ability to lead, delegate tasks effectively, and foster a collaborative work environment.
  • Strong skills in building and maintaining client relationships, with a focus on customer satisfaction and retention.
  • Proven track record in identifying challenges, proposing solutions, and implementing effective resolutions during events.
  • Ability to adapt to changing priorities, work under pressure, and handle unexpected situations with professionalism.

Preferred Education, Knowledge, Skills and Experience
  • Experience in events management and vendor management, including security, maintenance, housekeeping, and food services is preferred.
  • Proven ability to establish relationships and lead with and without authority.
  • Prior State experience, particularly experience at UNC Charlotte.
  • Experience working with Banner and other University systems (49erMart, PCard,/NinerTalent, Kronos, etc.) is highly desired.
