Overview

The Box Office Assistant assists the in overseeing ticket sales and all aspect of Box Office operation by ensuring smooth and efficient processes while providing exceptional customer service. Your role will involve assisting Box Office Management in supervising ticket sellers, resolving issues, and maintaining accurate records. This role requires strong leadership, excellent organizational skills, and the ability to work effectively under pressure to ensure a positive experience for all event attendees. The Box Office Assistant will be proficient in TM Host, Archtics, Account Manager and Microsoft Office and works under the supervision of Box Office Management.

This role pays an hourly rate of $17.00 to $20.00.

Responsibilities
  • Demonstrated knowledge and significant application use experience with the Ticketmaster ticketing system in set up, operation and system utilization is essential.
  • Prepares or assist with preparation of a daily report of business transactions.
  • Coordinate with event organizers to understand event details, including seating arrangements, ticket prices, discounts, and restrictions.
  • Assist in coordinating all event information between the event organizers, facility personnel and the building accurate manifest with Ticketmaster in a timely manner.
  • Provide full service ticketing for events (including account management, ISM builds and all other ticketing requirements for ticketing operations)
  • Assist with preparation of all required Box Office reports to management and promoters
  • Assist with set-up and maintenance of proper Box Office procedures (with direction from Box Office Management).
  • Process ticket requests from promoters and marketing department
  • Update and troubleshoot the computerized ticketing system, ticket scanner units, ticket printers, card readers and software applications
  • Manage all aspects of ticket scanners including setup, location assignments, restriction programming, tear down, maintenance, etc.
  • Maintains communication with Ticketmaster representatives for updates and /or revisions in computer operations.
  • Assist in event scan reports and drop counts to Event Manager, General Manager during closing procedures following each event
  • Assist or prepares cash bank and daily accurate inventory of all tickets distributed and available for sale. Prepares nightly deposits and reconciliations.
  • Maintain files on each event that consist of seats on-hold for the building and promoter, complimentary ticket vouchers, event audits and ticket inventory schedules.
  • Ensure that all premium seating ticket orders are processed and confirmed in a timely and accurate manner.
  • Processes group sales orders and complimentary ticket requests.
  • Handle escalated customer inquiries and complaints, providing resolutions in a professional and timely manner.
  • Responds to customer's complaints and service requests to maintain a positive rapport with the ticket buying public.
  • Establishes and maintains high standards of customer service for the box office staff.
  • Assists in training and and scheduling of part-time ticket staff.
  • Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended numbers of days based upon event calendar.
  • Ability to work nights, all events, weekends, events and holidays as required.
  • Perform ticket selling functions as needed.
  • Ensure compliance with company policies, procedures, and confidentiality requirements.
  • Perform additional tasks and responsibilities as assigned.

Qualifications
  • 2 or 4 year degree preferred. High School Diploma and experience in lieu of college degree considered.
  • 2-4 of Supervisory Experience.
  • Excellent communications skills.
  • Archtics/Ticketmaster experience preferred.
  • 2-4 years of experience working with the public.
  • 2-4 years of experience in an entertainment/sports facility preferred.
  • Outstanding interpersonal and organizational skills as well as a meticulous attention to detail.
  • Strong oral and written communication skills, excellent interpersonal skills, particularly in dealing with the public, are required.
  • Demonstrated computer and software trouble shooting experience.
  • Effectively communicates information through written correspondence, oral communication and preparation of reports.
  • Knowledge of ADA regulations preferred.
