The University of Texas at Dallas has an excellent job opportunity for individuals looking to join the Erik Jonsson School of Engineering and Computer Science team as a Business Manager.

Reporting directly to the Department Head, the Business Manager plays a pivotal role in ensuring the effective and efficient execution of all financial, operational, and administrative staff functions within the Department of Mechanical Engineering (ME) in the Jonsson School of Engineering and Computer Science ( ECS ) at the University of Texas at Dallas. The position is action-oriented and requires high-level organizational and project management skills critical to achieving department objectives. The position further requires a high degree of independent judgment and management skill, including supervising, training, and assessing department staff responsible for finance; human resources; research administration; facilities, space, property, and technology management; and other department operations. The position also acts in an advisory capacity to leadership.

Minimum Education and Experience

Bachelor's degree and five years of related accounting and office management/supervisory experience or an equivalent combination of education and experience.

Preferred Education and Experience
  • 3-5 years of supervisory experience in higher education managing large and complex teams with demonstrated leadership, management, scheduling, communication, presentation, and organization skills.
  • 5-7 years experience in budgeting, fiscal management, and forecasting within different budget models.
  • Highly organized and detail-oriented with the demonstrated ability to manage multiple projects, prioritize workload, and exercise independent thought and sound judgment.
  • Strong verbal and written communication skills and the ability to provide excellent customer service to a group of staff, students, faculty, and administration.
  • Strong critical thinking skills and ability to understand the big picture of finance operations.
  • Proficiency in Windows-based software applications and ERP systems such as PeopleSoft or comparable software.
  • Considerable experience in research contract administration.
  • Nurture a collaborative and civil environment and demonstrate personal accountability.
  • Maintain a high level of confidentiality and represent the university ethically and professionally.
Essential Duties and Responsibilities
  • Supervise, train, and review the department's staff in finance, human resources, research administration, facilities, space, property, technology management, and other department operations. Assist the department head with staff hiring.
  • Establish a work environment that fosters participation, open communication, respect, and excellence. Encourage team building and a strong people orientation.
  • Manage finance planning and accounting; prepare budgets; monitor and control department expenditures; analyze financial data; generate reports; and monitor budget variances to ensure financial controls and compliance.
  • Develop and deploy forecasting methods to ensure all available resources are appropriately utilized.
  • Perform frequent cost/benefit analyses for department projects and budget categories and provide guidance to the department head. Applies knowledge of fund restrictions to determine the appropriateness of expenditures and maximize using all available resources to support and enhance the department's strategic direction.
  • Oversee sponsored project activities, ensuring compliance with funding agency requirements and adhering to regulations governing research finances. Assist as needed with negotiations of contract terms, conditions, specifications, and provisions in accordance with applicable procurement and/or agency guidelines. Oversee management of post-award and close-out processes for sponsored projects.
  • Oversee monthly reconciliation of cost centers to ensure expenditures are accurate, complete, allowable, appropriate, and timely.
  • Oversee payroll matters related to appointments, supplements, funding changes, and job attribute changes to ensure accuracy. Perform payroll reconciliation and clearing cost center, troubleshoot and resolve departmental payroll issues, and verify monthly and semi-monthly payroll queries to identify potential pay issues and/or discrepancies.
  • Prepare and submit reports required by regulatory entities and internal management.
  • Develop and implement standard operating procedures and internal controls. Train staff on best business practices to ensure compliance with university and governing policies, procedures, and audit requirements.
  • Serve as the liaison to the ECS dean's office, university financial areas, the vice president of research and innovation, and internal/external constituents to ensure financial compliance, effective operations, and timely reporting as required.
  • Serve as liaison to facilities management ( ECS and university) on space allocation, building, and department operations. Manages property inventory and access control.
  • Participate on special projects, task forces, and committees as assigned.
  • May assist with events, activities, commencement, conferences, and meetings for faculty, staff, students, the department, and the school.
  • Perform other duties as required.

Remote Work Notice: Following successful completion of an initial training period, a hybrid work schedule may be available, subject to business needs and departmental approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be cancelled.
