The Role:

The SMWW Business Operations Coordinator assists in running business logistics to ensure SMWW operates smoothly. They work closely with the Business Operations Manager, VP of Operations, Executive Director, and President to optimize operational processes and workflows. This role requires exceptional organizational skills, flexibility, teamwork, problem-solving, and communication abilities.

Key Responsibilities:
  • Agent and Scout Onboarding:
    • Gather information, create profiles, send out welcome kits, and build relationships on behalf of SMWW.
  • Global Ambassadors:
    • Onboard ambassadors, set up web profiles, order materials, ship welcome kits, help run weekly Zoom meetings, and maintain SMWW culture and relationships.
  • Conferences and Meet & Greets:
    • Plan and execute conferences, including finding locations, packing materials, preparing attendee letters, finding speakers, arranging travel, setting up conference and registration tables, ensuring smooth event operations, and addressing attendee and speaker inquiries. Events include the NFL Combine, NBA Summer League, MLB Winter Meetings, MLS Preseason, Senior Bowl, NHL Draft, and others as assigned.
  • Student Services:
    • Answer phones and emails, assist students with questions and concerns, direct them to the appropriate person, and send out books upon course enrollment.
  • LinkedIn Management:
    • Monitor and approve Alumni group members, increase and manage alumni followers, congratulate graduates, comment on alumni success and postings, share job postings, and post events.
  • Record Maintenance:
    • Maintain accurate and detailed records of students, clients, scouts, and agents.
  • Degree Programs:
    • Pull reports, answer questions from prospective students, work with the SMWW Admissions & Enrollment Specialist to assist with registration and admission processes, and send welcome kits and graduation gifts.
  • Inventory Management:
    • Order course textbooks, welcome kit materials, flyers, inserts, and branded swag as needed.
  • Meetings and Training:
    • Attend and participate in meetings, training programs, and conferences as needed.
  • Relationship Building:
    • Develop and foster strong working relationships with SMWW Faculty, Agents, Scouts, and Team Executives.
  • Intern and Apprentice Development:
    • Mentor and guide SMWW Interns and Apprentices.
  • Daily Activities:
    • Engage in watching and discussing sports daily.
    • Maintain a fun and dynamic work environment.
  • Other Duties:
    • Perform other tasks and duties as assigned.

Requirements:
  • Must be present in the office at 1100 NW Glisan, Portland, Oregon during weekdays (M-F) with somewhat flexible hours. Paid parking is provided.
  • Travel required approximately five times a year to events such as the NFL Combine, NBA Summer League, NHL Draft, MLS Preseason, Winter Baseball Meetings, Senior Bowl, and others as needed (trips last 2-4 days).
  • Required to attend sporting events as deemed necessary.
  • Must love sports, have a sense of humor, excellent time management and project management skills, be a self-starter, and possess a strong work/play ethic.

Qualifications:
  • 1-3 years of relevant experience.
  • Outstanding written and verbal communication skills.
  • Demonstrates exceptional creativity and out-of-the-box thinking.
  • Ability to handle and prioritize multiple projects.
  • Takes responsibility to ensure successful outcomes.
  • Self-starter with a high level of initiative.
  • A strong contributor to a high-functioning team.
  • Social media skills are a plus.
  • Bachelor's degree preferred.
  • SMWW Alumni preferred (Course and/or conference).
  • Proficiency with Google Suite products, Zoom, and Canva.

Compensation:
  • Pay Range: $40,000-$70,000, based on experience.
