Responsibilities

Responsible for coordinating and managing travel, procurement, events, accounts receivable/payable, disbursements, and property accounting for the Division of Enrollment Management (EM).
  • Responsible for overseeing the day-to-day travel authorizations, cash advances, expense reports, and non-travel reimbursements for the Division of Enrollment Management (EM). Serves as the primary point of contact managing travel arrangements, including booking airfare, reserving hotel room(s), and/or reserving rental vehicles. Reviews travel card transactions for accuracy and policy compliance. Spearheads division wide training for new and/or returning travelers in anticipation for the nine-month admissions travel season and/or conference travel.
  • Responsible for procurement functions within Enrollment Management, holds a P-Card, ensures appropriate purchases, and follows University and State rules and regulations. Manages requisitions and purchase orders through closure to include receiving and receipting items. Monitors the EM business procurement activities through maintenance and control of financial records and reports. Assists leadership to ensure the division complies with Payment Card Industry Security Standards (PCI-DSS). Advises on financial activities and provides data to leadership for budget projections and strategic analysis.
  • Responsible for coordinating and managing division wide meetings, workshops, and events. Leads the concierge services within the division to ensure the planning and execution of events are solid. Manages and collaborates with fiscal staff to project budget(s) expenditures and/or contract approvals and partners with unit contacts to complete the event. Manages the event logistics such as space/room management, attendee tracking, presentation and materials, catering requests, parking, IT equipment, facility requests, and/or any other special requests. Responsible for post-event activities, monitors and documents the success of events to improve future events.
  • Responsible for interpreting and complying with Florida Statutes, State, and University policies and procedures. Ensures a sound environment of internal controls and compliance by monitoring and tracking travel, purchasing, and payment activities through the maintenance and control of financial records and reports. Responsible for interpreting, recommending, and implementing policies and procedures to identify process enhancements, boost efficiencies, and lead to improvements of fiscal services within Enrollment Management. Identifies potential business process issues and sets systems in place to improve workflow and quality of work.
  • Responsible for maintaining and processing property accounting records for the department. Ensures that University property rules, regulations, policies, and procedures are followed. Trains the department's personnel regarding the policies and procedures for property management. Serves as department property custodian. Participates in special projects and assignments as needed that align with the goals and objectives of Enrollment Management.

Qualifications

A Bachelor's degree and two years of experience; or a high school diploma or equivalent and six years of experience. (Note: a combination of post high school education and experience equal to six years.)
