The Division of Land-Grant Engagement at West Virginia University is currently accepting applications for a Chief of Division Operations.

About the Opportunity

The Chief of Division Operations reports directly to the AVP/Dean of the Division of Land-Grant Engagement and serves as the principal aide addressing high-level issues, policies, and complex situations involving a cross section of college and university units. The position manages confidential and sensitive issues for the AVP/Dean and develops proposed solutions to a wide range of issues. The Chief of Division Operations represents the AVP/Dean in many interactions with administration, faculty, staff, students, alumni, visiting committees, division advisory committee, and other key constituents of the Division. The incumbent communicates the AVP/Dean's position and priorities and researches and prepares analyses on a variety of matters.

What You'll Do

  • Serve as a member of the AVP/Dean's senior leadership team engaged in setting priorities, crisis planning, problem solving, managing change, and advocating support for decisions. Respond to sensitive and confidential inquiries with the AVP/ Dean or in their absence. Generate talking points on a variety of academic, extension, and administrative matters.
  • Research a wide variety of issues and prepare analyses and summary reports. Assist with issues of strategic importance to the Division and that which advances the AVP/Dean's priorities. Review Division and unit policies and procedures and make suggestions to the AVP/Dean. Organize the assessment and review of unit heads and administrative team members. Provide a report to the AVP/Dean based on the analysis of the review.
  • Manage and oversee all operations of the AVP/Dean's Office, including oversight of administrative support staff within the AVP/Dean's administrative team. Review and or prepare the AVP/Dean's communications including special reports, proposals, announcements, presentations, and agendas for internal and external audiences, working in close coordination with administrative staff. Ensure the timely flow of information to and from the AVP/Dean's Office.
  • Manage requests to the AVP/Dean from both internal and external sources, to determine which matters require the AVP/Dean's direct attention and those which may be referred to others or handled directly by the Chief of Division Operations. Oversee delegating responsibilities to others as needed and track all items to ensure acceptable resolutions. Work in close contact with the AVP/Dean's Suite administrative staff to oversee management of the AVP/Dean's calendar and other administrative tasks. Ensure that the AVP/Dean's meetings are effective and that the AVP/Dean is fully briefed and prepared. Identify appropriate objectives for meetings and follow-up regarding action items communicated during meetings.
  • Carry out faculty promotion and tenure tasks in support and/or on behalf of the AVP/Dean according to current University and Division procedures. Maintains a comprehensive list of promotion and/tenure timelines of Division faculty. Acts as the primary point of contact for faculty, program unit leaders and administrative staff regarding the promotion and/or tenure process. Provides training, interpretations and clarifications of policies and procedures and assists faculty and staff with any issues related to promotion and/or tenure policies.
  • Oversee special projects, high-profile events, and conferences. As needed, work closely with other senior leaders of the AVP/Dean's Administrative team on special projects and issues of strategic importance. This may include procedures, policies, and operations. Projects may be sensitive or highly confidential in nature and may require extensive historical research. Role must define the nature of the project, establish goals and timelines for implementation and coordinate the efforts of other staff.




Qualifications

  • Bachelor's degree in business management, organizational development, or a related field. Master's degree is preferred
  • A minimum of 3 - 5 years of supervisory and administrative experience working in a complex organization, preferably in higher education
  • Any equivalent combination of related education and/or experience will be considered.(always include unless position requires specific degree).
