Children's National Northern Virginia is hosting a job fair and interview dayon Wednesday, August 28th for their clinical and non-clinical positions, to include:

These positions are based in Merrifield, VA.

Qualifications:
Clinic Operations Representative:

This position reports to the Clinic Operations Supervisor or Clinic Operations/Practice Manager. Provide patient services and administrative support in clinic operations. Interacts with parents, patients, physicians and other staff under moderate supervision in a courteous manner. Provide assistance to other employees within their department as well as other departments. Collect and verify all demographic information to ensure accuracy. May provide required notification of scheduled services according to managed care requirements. May be responsible for scheduling patients for specialty appointments. Position may be required to float to other clinics or ROCs for coverage. Next step in career ladder is Senior Clinic Operations Rep or Team Lead position.

Minimum Education
High School Diploma or GED (Required)

Minimum Work Experience
1 year experience performing billing, patient registration, and scheduling, medical insurance verification, insurance screening. (Required)

Required Skills/Knowledge
Broad clinic knowledge, customer service skills. Computer knowledge necessary. Microsoft Office experience preferred (Word & Excel). Complete Ambulatory Services training curriculum and pass all competency assessments, including a mock clinic. The ability to type minimum of 35 words per minute required.

Functional Accountabilities

Patient Services
  • Demonstrate accuracy of scheduling patients using the applicable scheduling system for the department.
  • Complete computer aided, on-line registration screen with parent/guardian via telephone or in person in professional & courteous manner.
  • Collect accurate demographic and insurance information. Update systems as needed in accordance with department standards for registration accuracy.
  • Reschedule appointment for patients who did not show or for the ancillary services cancellations by providers/technologist. Schedule follow up appointments at check out if applicable.
  • Greet patients and parents courteously. Arrive patient in appropriate system based on department policy.
  • Obtain required consents for department & ensure distribution of compliance related materials (i.e. HIPPA Privacy Notice, Patient Rights).
  • Obtain copy of insurance card and photo ID to be stored in medical record (copy or scan activity required). Ensure applicable insurance company and CNMC HIM department receive copies of appropriate forms/documentation. Complete all documentation in accordance with department policy and procedure.
  • Respond to patient portal work lists (i.e. appointment requests, fax queues, email requests, etc. May include messaging center work lists in the future).
Information Verification
  • Verify insurance eligibility using applicable eligibility system. Ensure managed care carve outs (lab and radiology carve outs) are adhered to.
  • Notify parents of the need for completed insurance referral form or pre-authorization prior to scheduled/unscheduled appointments.
  • Discuss co-payment, deposits, payment in full, or past due balance collections with parents prior to scheduled appointment in a professional & courteous manner.
  • Counsel parents or refer parent to Financial Information Center (FIC) for establishing payment schedule or method of payment.
  • Verify insurance information is complete prior to procedure and collect and verify pre-authorization/referral information: goal is to obtain authorizations 5 days in advance of service.
  • Utilize all systems where patient information may be stored (EPRS, SCI, Cerner, IDX, McKesson, etc.) to verify that systems are in sync.
Cash Collection
  • Collect and record co-payments, deposits and payments in full and provide payer with receipt. Responsible for helping department meet 85% of the collection target for the department.
  • Maintain departmental requirements regarding cash controls and collections.
Billing Preparation
  • Reconcile schedules for upcoming clinic session to include ensuring that accounts are set up for billing and services requiring authorization are flagged: Activity should be completed 3-4 days in advance of clinic session; Areas with procedures requiring authorizations work standard may be 5-7 days.
  • Appropriately clear all walk-in and ensure scheduled/unscheduled appointments are linked to scheduling system.
Office Support
  • Answer telephone and address caller needs appropriately. Avoid transferring calls for better service to families. Meet department standards relative to ACD policies if applicable. Manage voice mail messages within same business day.
  • Distribute mail. May work returned mail as needed.
  • All staff are responsible for information distributed via e-mail. Staff should check work email a minimum of 3 times daily and respond to inquiries within 24 hours (or next business day).
  • Maintain office files and office supplies at P AR levels.
  • Maintain clean reception area and workspace.
  • Other support as needed.
Medical Technician:

In collaboration with the Registered Nurse, under the direction of the Attending Physician and Clinic Operations Manager, directs patient flow, assists staff members in carrying out patient treatments, assists in specimen collection, phlebotomy and laboratory testing, and maintains a safe, clean and stocked ambulatory setting. Preps patients for visits to ensure smooth clinic flow for all physicians working with the multidisciplinary team.

Required Skills/Knowledge
Ability to work with a diverse staff and patient population. Excellent customer service skills, experience in healthcare setting preferred, and basic computer knowledge necessary. Must be able to achieve CNMC certification in phlebotomy techniques within three months of employment. Must be able to maintain ongoing CNMC phlebotomy certification. Must be able to perform simple laboratory tests, basic calculations (Addition, subtraction, multiplication and division)

Required Licenses and Certifications
Cardio-Pulmonary Resuscitation (CPR) (Required)

Formal training certification as a Medical Assistant required (Required)

Functional Accountabilities
Clinic and Office Support
  • Answer phones and triage appropriately, i.e. directions, appointments, general questions, test results, and physician messages; refer all clinical questions to MD.
  • Confirm appointments; obtain any medical information, appropriate insurance referrals and authorization for any testing that may be required by the physician prior to the appointment to ensure the ease of the patient experience and increase the productivity of the physicians; Request records from HIM Department when necessary; ensure all patient record documentation from the physician is sent to HIM by close of business each day.
  • Print clinic schedules, ensure appropriateness of scheduled appointments and backfilling open appointment slots; mail reminder/no-show cards as appropriate.
  • Prepare patients for their upcoming appointment by capturing their lab, x-ray and previous medical history as needed.
  • Maintain sterile, organized work environment to include removal of expired stock and medications; monitor and maintain daily records of medical equipment as required.
  • Maintain ordering office supplies, office files and other support duties as needed, i.e. mail distribution, faxing, copying, scanning.
Patient Care - Front Office
  • Prepare chart for new patients and/or assemble follow up patient charts to include consent forms, lab and x-ray results and any documentation from the previous visit.
  • Work with patients and registration staff to ensure accurate demographics are obtained.
  • Attach surveys, charge tickets, treatment plans and ATRs to charts as appropriate.
  • Orient the family to the patient rights and responsibilities.
  • Schedule patient for any ancillary testing as required by the physicians; ensure proper authorization is obtained; follow physician orders and directives precisely.
Patient Care: - Exam Room
  • Prepare the examination room for a patient examination and instruct or assist patient regarding clothing removal and patient gown use; obtain the patient's medical history as needed for the physicians; collect and document data obtained about the patient's condition (activity level, positioning, safety, level of consciousness, responsiveness behavior, respiratory status, perfusion) and report all to physician as well as chart in patient's record.
  • Perform vital signs, temperature, pulse, height, weight, head circumference and respiratory rates; complete any documentation of patient vitals or history as needed. This documentation could be online in computerized databases, flow sheets, ATR's or any type of patient flow record the departments or physicians may use to complete their patient charting.
  • Comfort anxious children undergoing a procedure by talking to them and using distractions.
  • Monitor the patient throughout the visit and report any patient/family concerns to the manager for resolution; recognize and report pain
Patient Care - Lab Services
  • Perform laboratory tests or medical procedures which are varied in complexity; label all specimens with patient labels.
  • Enter patient information, test requests, cancellations and additions into computer order program. Perform computer searches for data inquiries and prints and retrieve reports as needed by the physicians; order tests in MISYS computer system.
  • Collect blood specimens by venipuncture and capillary method; perform special procedures such as collection of specimens for sweat chloride test and administration of xylose; conduct assigned routine laboratory tests such as urine dipstick, loading automated analyzers, preparation of slides for microscopic analysis; set up simple bacterial/viral cultures and enter specific test results into the computer.
  • Request additional information from referring physicians as needed by the attending physicians; include clarifying questionable orders for lab or testing; process specimens by centrifugation, aliquoting and sorting into specific areas of the laboratory.
  • Complete order forms for any ancillary testing the physician deems necessary during the patient visit; coordinate any stat or routine pickups for the lab work.
  • Provide basic patient care which includes dressing changes, positioning patients, linen change, assisting in ambulation, handing the proper instrumentation to physicians, sterilizing the instrumentation as needed.
  • Perform suture removal, ekg's, laser assistance, casting, holter monitor application, enemas, pulse oximetry and other procedures as needed.
Ambulatory Patient Care Tech:

The Ambulatory Patient Care Tech will work in collaboration with the multidisciplinary health care delivery team under the direction of the Registered Nurse, to perform basic nursing care activities, assist to maintain a safe, clean, stocked patient care setting, assist staff members and help direct patient flow.

High School Diploma or GED (Required)

Minimum Work Experience
1 year experience in an acute health care setting-preferably pediatrics (Required)

C.N.A, PCT, or EMT Certification (Required).

Functional Accountabilities
Clinical Activities
  • Collect data and accurately document information for meaningful use including the chief complaint, current medications, allergies tobacco/smoking history and smoke exposure for all patients as reported by family; accurately obtain vital signs (TPR, BP), height, weight and head circumference; orient the family at the time of the visit to the clinic environment, paperwork, etc.
  • Recognize abnormalities and report such to the Registered Nurse or Provider; assist in screening patients for pain using appropriate pain scale; recognize indicators of abuse and neglect and escalate positive findings to the Registered Nurse or Provider; recognize and remain with any child in distress, immediately institute Basic Life Support procedures when necessary; escalate any of the above to Registered Nurse or Provider for positive screen.
  • Provide basic nursing care (e.g., provide nourishment, assist patient with ambulating, escort patient at time of discharge, etc.).
  • Check and ensure all relevant equipment such as, but not limited to, scales, stadiometers, vital signs machines, otoscopes and
  • ophthalmoscopes, oxygen and suction are in working order; performs corrective actions as needed and/or informs the Registered Nurse or appropriate person of repair needs.
  • Collect specimens for testing according to policy and procedure and/or perform specific testing per individual clinic assignment including but not limited to POCT , lab draws as applicable to setting.
  • Inform patient/guardian of collection process according to procedure; inform family of other clinical resources; offer brochures for specific health care needs of the family.
  • Meet Joint Commission/DOH documentation requirements for clinic area.
  • Complete clean sweep tool weekly.
Patient Flow and Unit Efficiency
  • Help maintain a neat orderly environment.
  • Assist with the preparation of the exam room to receive patients.
  • Prioritize tasks and special requests; complete all tasks or report the inability to complete the task
  • Obtain equipment and supplies and maintain PAR levels.
  • Monitor waiting room and ensure families are kept informed of delays; provide directions to lab, radiology, cafeteria, etc.
  • Identify children/families with special needs (i.e., child on stretcher, oxygen use, patient requiring isolation).
Communication

Laboratory Competency

  • Participate in continuing education opportunities available internally and/or externally; perform competency and proficiency challenges in a timely manner .
  • Process specimens by centrifugation, allocating and sorting into specific test areas and for storage; coordinate the pick-up and delivery of specimens for Children's Hospital, Quest and/or other reference labs; troubleshoot specimen-processing procedures.
  • Investigate and handle improperly labeled specimens, requisition problems and inadequate specimens.
  • Answer general information and specimen requirement questions and route technical questions to appropriate area for answers.
  • Monitor and maintain daily records of laboratory equipment as required; maintain simple laboratory equipment and notify main lab and/or supervisor of unresolved problems; order routine lab/POCT inventory and supplies.
