Job Description

Responsible for daily office administrative functions for the Culinary Center Meal Order Department for Facility Order Inputs and Customer Service Assistance for all NYC H +H Acute and Post-Acute Facilities. Customer Service focused on direct communication with our off-site facilities to assist with their needs. Team environment to assist in all aspects of the Food Service Operation's administrative functions.

General tasks and responsibilities will include:
  • Provides Administrative office support; answers and directs all incoming phone calls and/or inquiries to appropriate members of the management team.
  • Monitors Front Gate and Front Door Access; assists with maintaining Visitor Log Book.
  • Directs and assists all visitors as needed.
  • Directs all personal employee phone calls when deemed an emergency to appropriate manager/supervisor.
  • Obtains all Acute and Post Acute Facility Meal Orders through designated email communication(s).
  • Responsible for inputting weekly All Advanced Preliminary Meal Orders from all fifteen (15) site facilities into Meal Order Database.
  • Assists with finalizing All Preliminary Facility(s) Meal Orders, relevant tallies, and weekly portion tracking report for Production.
  • Maintains weekly accurate filing/scanning of Meal Orders in support of department billing functions to site locations.
  • Assists Production with computing tally information into weekly Production Sheets, Temperature Dispatch Sheets etc.
  • Communicate with Production and Supply Chain/Logistics Manager for any meal order changes, missing items, and add-on(s).
  • Provides Production with relevant Packing Sheets and Sales Summary for daily deliveries from the Culoinary Center to All site locations.
  • Assists with monitoring, maintaining and requisitioning necessary office supplies with office management.
  • Coordinates weekly with Production liaison(s) for necessary labels and special functions schedule(s) for off-site locations.
  • Supports management team as directed to assist with administrative duties as business necessitates.
  • May be called to assist with distribution of employee uniforms and relevant Personal Protective Equipment [PPE].
  • Receives on-going training as directed by report to manager in but not limited to the following areas: Personal Hygiene, HACCP, Handwashing, Sanitation, temperature monitoring significance, Facility Fire Safety, equipment handling/cleaning, safe work procedures, computer systems interface and computer data entry.


Minimum Qualifications
1. A four-year High School Diploma or its educational equivalent and one year of
satisfactory clerical experience.

Skills Requirement:
Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per
minute.

Department Preferences

Knowledgeable In:

  • Basic Knowledge of Food Preparation and Production

PREFERRED SKILLS:
  • Experience as a Food Preparer/ Aide in High-Volume Industrial Kitchen, Hotel or Restaurant Environment.
  • Ability to work in a team environment with a positive attitude.

Years of Experience:

  • Two (2) Years' Experience
