Job Description

Purpose of Position:

To ensure clerical/ administrative functions for the Pastoral Care, Residency and Internship Programs.

To facilitate administrative systems for data collection. To provide administrative backup for Network Pastoral Care/NYC Health & Hospitals Spiritual Council .

To preserve integrity of Departmental personnel files for the resident and intern chaplains by maintaining confidentiality.

Duties and Responsibilities:

Arranges and schedules interdepartmental and community meetings, drafts letters, memos, initiates purchase requests.

Manages schedule for Network Director and Department Director.

Draw up unit(s) assignment for the resident and intern chaplains. Drafts letters, memos and initiates purchase requests for Social Service/Pastoral Care/Grants Program.

Prepares and coordinates reports and minute for Hospital Wide Performance Improvement Committee, Supervisor Minutes Meeting and distribute among staff members in a timely manner.

Assist the Director with Budget finalization.

Oversees clerical/administrative functions in the Pastoral care services, Clinical Pastoral Education and Internship Program.

Coordinates and maintains staff training files.

Type overtime reports and ensures timekeeping procedures are followed.

Supervises and evaluates staff assigned to her. Ensures proper equipment maintenance.

Performs other duties assigned as necessary for the Department.

Other duties as assigned by the CPE Educator and Pastoral Care Director.

Minimum Qualifications
1. A high school diploma or its educational equivalent; and
2. Six (6) months of full-time satisfactory clerical experience and/or experience interacting with the public, such as processing sales; taking, processing, and delivering orders; obtaining and dispensing information; listening to and resolving customers concerns, problems, and complaints; and/or performing related customer service activities.
