In accordance with the Detroit Association of Educational Office Employees (DAEOE) and the Board of Education of the School District of the City of Detroit, the following vacancy is announced.

Position Summary:

The Clerical IIII for the Exceptional Student Education (ESE) Compliance Division is a full-time, twelve-month position responsible for maintaining special education student files and processing internal and external records requests for the Office of ESE. In addition, the Clerical III assists department administration and support staff with daily operations and tasks.

Minimum Qualifications:
  • Possess an Associate Degree
  • Three (3) years clerical experience performing complex work tasks
  • Knowledge of school operations, policies, regulations and procedures
  • Ability to analyze situations and take an effective course of action
  • Ability to process requests for records from outside school agencies within expected timelines
  • Must possess the ability to maintain a high level of confidentiality
  • Proficient in Microsoft Office Suite, Excel, PowerSchool and related software
  • Ability to prepare documents and spreadsheets
  • Personal alignment with the District's mission, vision, and core values

Essential Functions:
  • Maintain special education files for students with disabilities including, but not limited to, related services files, individualized education plans, and evaluation reports
  • Maintain paper records in file room to ensure folders are in appropriate drawers for active and withdrawn students
  • Utilize the Student Information Systems to locate ESE records requests
  • Assist with organizing records, maintenance of ESE folders/other permanent records assigned while protecting confidentiality of student records and information
  • Respond to email and fax requests for special education records requests, preparing and processing each received from within and outside of the district
  • Function as part of a team of office professionals
  • Communicate effectively and timely with all stakeholders
  • Document and track all records requests using online tools such as Microsoft Excel
  • Provide phone support for incoming office calls
  • Provide backup support for incoming Social Security determinations
  • Provide clerical support to department supervisor and support staff
  • Perform other clerical duties as assigned

    Internal Applicants

    If you are a current Detroit Public Schools Community District employee, you do not have to submit to a new security clearance, unless your new role requires a different type of criminal background check.
