Duties

  • Used varied functions of multiple office automation software to produce a wide range of documents, formats, etc.
  • Prepares a wide variety of recurring correspondence, internal reports, and other documents from information obtained from the staff, files, and other sources and reviews and finalizes documents prepared by others
  • Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives
  • Receives and directs telephone calls or visitors
  • Establishes. updates, and maintains office records of various types that may be needed or will assist in the efficient operation of the office

Qualifications

Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Miscellaneous Clerk and Assistant Series located here. Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement.

SPECIALIZED EXPERIENCE: Applicants must have at least 1 YEAR general experience demonstrates the applicant's ability to perform the work of the position, or (2) experience that provided a familiarity with the subject matter or processes of the broad subject area of the occupation. General experience is described as progressively responsible clerical, office, or other work that indicates the ability to acquire the particular knowledge and skills to perform the duties of this position.

IDEAL CANDIDATE: Ability to follow instructions, comprehend and apply guides and instructions for assigned tasks and assisting with administrative functions associated with recreation programs. Assists in carrying out routine assignments in recreational programs; setting up recreation areas for scheduled activities; organizing recreation centers for special events, activities, or parties; takes reservations and payments for equipment; takes inventory of authorized recreation supplies and equipment and helps with group activities which require more than one staff monitor, performing specifically assigned tasks. May assist in scheduling campsites, cabins, boats, and other outdoor recreation equipment and areas for use, with responsibility for seeing that they are vacated or returned in good order. Reproduces and assembles a variety of correspondence, uses office copying machines, FAX machines, monitors stock level of office supplies, answering telephone. Assists Services staff with administering administrative functions associated with recreation programs.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
  1. Working knowledge of general office administrative and clerical procedures to distribute mail, answer telephone, keep appointment calendar, maintain files/office forms, and order supplies.
  2. Ability to learn organization's functions and procedures sufficient to receive visitors or telephone calls, distribute mail, and maintain files, etc.
  3. Ability to read and interpret specific procedural guidelines pertaining to administrative support, including locally developed equipment operating and document processing instructions, which are directly applicable to the work.
  4. Ability to learn filing systems and procedures.
  5. Ability to communicate effectively orally using tact and courtesy.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social).
