POSITION SUMMARY

The Clinical Educator Registrar works to provide administrative support to the Manager for Clinical Pastoral Education and CPE Educator by managing strategic projects directly tied to the department's operational focus. Coordinates ACPE duties which require considerable initiative, experience, judgment, organizational skills, and knowledge of UTSW policies and practices and ACPE, Inc. Accreditation standards. Assists with notarizations for Spiritual Care and Support.

EXPERIENCE AND EDUCATION

REQUIRED

• High School Diploma or equivalent required.

• Two (2) years of experience with project coordination is preferred.

• Two (2) years of administrative experience OR Two (2) years of experience in a healthcare, medical research, or academic setting is preferred.

• Hold Notary Certificate or be willing to obtain.

PREFERRED

• Bachelor's degree in Healthcare Administration, Business Administration, or Health Sciences field is preferred.

• Bi-lingual English/Spanish preferred.

JOB DUTIES

• Interacts professionally and graciously with colleagues, students, patients, guests, and people inquiring about CPE; excellent phone skills.

• Serves as registrar for Association for Clinical Pastoral Education (CPE) program, including screening inquiries and applications, as well as scheduling candidate interviews, using a comprehensive tracking system.

• Assists with maintaining CPE budget

• Receives and deposits CPE-related funds and maintains payment information for CPE participants.

• Promptly and accurately completes required UTSW process for payment to ACPE for Center and Certified Educators fees, dues, etc.

• Processes and maintains accurately and in timely manner all ACPE applications, Communications with applicants/Inquiries, Evaluations, Graduation Certificates, Alumni database, Medicare "pass-through" Time Tracking, and Calendars.

• Ensures that the UTSW CPE webpage and CPE promotional materials are current and accurate.

• Oversees and maintains CPE Handbooks, with faculty input.

• Gathers and compiles CPE program data.

• Attends CPE Professional Advisory Group meetings.

• Assists Department with notary services

WORK CONDITIONS

• Work is performed primarily in an office environment. Prolonged sitting and standing. Travel from campus location to hospital location for notarizations.
