The Cancer Center Office of Clinical Research (OCR) is looking for an individual who has knowledge and/or experience with clinical trials budgeting processes to join the team as a Clinical Research Financial coordinator. The incumbent will work under the supervision of the OCR Finance Manager to develop budgets for clinical trials and work on systems for making internal payments for trial expenses, and the billing to external sponsors. The Clinical Research Financial Coordinator will work directly with study sponsors, clinical research teams, the Office of Grants and Contracts and School of Medicine CTO personnel to ensure compliance with the multiple layers of regulations governing clinical research billing.

Duties include:
  • Develop standardized costs for clinical trials and create budget templates for types of trials to assess the costs of trials.
  • Develop and negotiate budgets for new and amended clinical trials including costs for protocol-required tests/procedures, non-procedural charges, and applicable invoiceable services, along with the payment term schedule for clinical trials.
  • Facilitate and participate in clinical trial contract negotiations between sponsors and university officials.
  • Facilitate the review and/or update of the study billing coverage analysis, specifying the intended direction of medical charges, complying with all applicable federal, and institutional regulations/policies, specifically the CMS National Coverage Decision (NCD) for research, as well as other third-party billing rules.
  • Invoice the sponsor administrative fees, invoiceable procedures, patient visits, and patient reimbursement.
  • Continuous review and management of grants/funds throughout the study and reconciliation of payments at study closure.
  • Collaborate with study team, investigational pharmacy, Office of Sponsored Programs, Clinical Trials Office billing staff and other internal departments with review of the study protocols, informed consent forms, contracts, and EPIC clinical research charges to ensure fees and billing procedures are appropriate.
  • Other duties as assigned
Anticipated hiring range: 55,000-70,000 depending on qualifications and experience and including UVA benefits.

Minimum Requirements
Education: Bachelor's degree.
Experience: Two years of experience in a related field . Six years of progressive, relevant experience in the field of budget analysis, financial planning, or a closely related area may be considered in lieu of degree.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
